This role will partner with various internal teams, including sales, operations, marketing, consulting, and legal, to ensure the creation of high-quality, timely, and compliant responses to RFPs, RFQs, and RFIs.

In addition to proposal management, this position will also support a variety of marketing initiatives when proposal volume is low, contributing to the overall success of the marketing department.
ACTIVITIES/TASKS/SCOPE
Proposal Management (Primary Focus):
Proposal Management (Primary Focus):
- Coordinate and manage the full proposal life cycle, from the initial receipt of proposal requests through to the final submission and delivery.
- Lead go/no-go meetings, kick-off meetings, and other meetings as required.
- Lead generation and company branding.
- Collaborate with cross-functional teams (sales, operations, consulting, marketing, service, legal, etc.) to develop and package comprehensive, compliant, and compelling responses to business opportunities.
- Analyze costs, risks, and benefits associated with proposed contracts, and prepare proposals as needed.
- Ensure proposals meet both client requirements and internal standards, including compliance with submission guidelines and internal quality controls.
- Create well-designed graphics, write/edit, proofread, format, maintain version control, and ensure compliance to both submittal guidelines and internal organizational and brand standards.
- Manage version control and deadlines for all proposals, ensuring timely submission and communication of key milestones to relevant stakeholders.
- Maintain repositories and databases of project experience and approved content for proposals, making updates as necessary.
- Communicate with team members to ensure milestones are met, proposals comply with requirements, and critical tasks to win bids are understood and addressed.
- Write and maintain professional CVs for all team members, ensuring up-to-date, accurate, and tailored profiles are available for proposals and marketing purposes.
Marketing Support (Secondary Focus):
- Support general marketing initiatives when proposal volume is low, including content development, campaign management, and digital marketing efforts.
- Assist in creating marketing collateral such as brochures, presentations, email campaigns, and social media content to promote the organization’s services.
- Support brand visibility and winning new business.
- Participate in organizing and supporting corporate events, trade shows, and webinars.
- Monitor and report on the effectiveness of marketing activities, using insights to improve future campaigns.
- Assist in updating and maintaining the company website, ensuring the content is relevant and aligns with business goals.
- Collaborate on branding and messaging initiatives to ensure consistency across all marketing and proposal materials
EDUCATION, EXPERIENCE, & CREDENTIALS
- Bachelor’s degree in Marketing, Communications, Business, or a related field.
- 3-5 years of experience in proposal management, marketing, or a related field, preferably within a consulting, government services, or other service-oriented industry.
- Strong project management and organizational skills with the ability to juggle multiple priorities and deadlines.
- Excellent writing, editing, and proofreading skills.
- Proficiency in Microsoft Office, Adobe Creative Suite (InDesign and Photoshop), and CRM/marketing tools.
- Strong interpersonal skills and the ability to work cross-functionally with multiple departments.
- Experience leveraging AI tools for proposals preferred.
