A well-established financial services firm in Quincy, MA is seeking an Administrative Specialist to support its team in a fast-paced, client-focused environment. This role requires a proactive and detail-oriented individual who can manage administrative tasks while also acting as a liaison between the firm and its clients.

Key Responsibilities :

  • Manage calendars, schedule meetings, and coordinate travel arrangements
  • Assist in the preparation of presentations, reports, and client communications
  • Serve as a liaison between clients and internal teams, ensuring seamless communication and follow-ups
  • Confirm and process financial transfers, ensuring accuracy and compliance with company policies
  • Handle confidential information with professionalism and discretion
  • Support general office operations and assist with special projects as needed
  • Additional duties as needed

Qualifications :

  • Bachelor's degree required
  • Minimum of 2 years of experience supporting professionals in a financial services or professional services setting
  • Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment
  • Excellent communication and interpersonal skills to engage with both clients and internal teams
  • High attention to detail and ability to work independently with minimal supervision
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
