Our client is seeking an Executive Assistant to provide high-level administrative support to a VP, ensuring seamless daily operations and enabling the VP to focus on strategic initiatives. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The ideal candidate will have 10 years of experience supporting senior executives, preferably in a large corporate setting.
Key Responsibilities:
- Proactively manage the VP’s complex calendar, including scheduling meetings, coordinating with internal and external stakeholders, and resolving scheduling conflicts.
- Plan and book domestic and international travel, including flights, accommodations, ground transportation, and itineraries.
- Prepare and organize materials for meetings, including agendas, presentations, and reports. Take detailed meeting minutes as needed and ensure follow-up on action items.
- Act as a liaison between the VP and internal/external contacts. Screen and prioritize emails, calls, and other communications.
- Assist with special projects, including research, data analysis, and the preparation of high-quality documents and presentations.
- Process expense reports and ensure timely reconciliation in compliance with company policies.
- Organize and manage logistics for team events, offsites, and other corporate activities.
- Handle document management, file organization, and other administrative duties as required.
- Maintain strict confidentiality regarding sensitive business and personal matters.
Qualifications:
- Bachelor’s or Associate's degree.
- Minimum of 10 years of executive assistant experience, with at least 5 years supporting C-suite or VP-level executives.
- Proven experience in a fast-paced, large corporate organization.
- Exceptional organizational and time-management skills, with the ability to prioritize and multitask effectively.
- Impeccable attention to detail and accuracy.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and exercise sound judgment.
- High level of professionalism, discretion, and interpersonal skills.
Salary : $90,000 - $110,000
