Job Summary
This position reports to the Senior Fiduciary Officer and is supportive of both the Senior Fiduciary Officer and the Trust Officer and supports the management of client relationships and delivers high quality fiduciary services. This position requires the ability to work both independently and in collaboration with a team. This position will be both fast moving and rewarding. This position will also require the ability to work on very diverse projects with diverse people, often at the same time. Time management, organization and EQ are therefore very important. Being able to take initiative is important. The ability to handle confidential information discreetly is vital to this position.
Duties and Responsibilities:
Departmental Administrative Duties
- Perform Notary Public responsibilities.
- Image documents into the Bank’s Synergy system. (VC scans new and closed account documents) and prepare current files that need to be retained for imaging.
- Meet and greet incoming clients and others.
- Answer telephone, take messages and handle/route telephone calls.
- Special projects as may be assigned from time to time.
- Arrange for destruction of imaged hardcopy files after images are verified.
Trust administrative and client duties:
- Serve as first point of contact for client calls and emails.
- Initiate and complete cash distributions, creating Discretionary Distribution Requests for department and committee approval, monitoring Discretionary Distributions annually and provide reporting for annual court accountings.
- Monitor and clear overdrawn portfolios.
- Provide general information regarding account balances, activity, etc. Refer tax / investment / legal questions or concerns to appropriate persons.
- Access the SEI Trust Accounting System to download or print various reports related to specific accounts as well as general departmental matters.
- Prepare performance reports for client meetings and monthly reporting schedule.
- Originate client correspondence and other materials for review and signature by the appropriate administrative officer.
- Assist with research to solve problems related to specific trust accounts.
- Annual Tax Protocol
- Download tax worksheets from One Source and email / upload to appropriate CPA or client.
- Gather 1099’s and K-1s and email / upload to appropriate CPA or client.
- Monitor and update the tax return tracking spreadsheet.
- Log returns, submit to Trust Officer for review, make payments to CPA and IRS, monitor refunds and communication with the IRS.
- Scan and save to S drive and upload to Synergy; file in tax box in vault.
Education and Experience:
- Bachelor's degree preferably, business, finance, law or accounting
- 5 years project management and/or related experience.
Skills and Abilities Required:
Knowledge (or working toward knowledge) of fiduciary and financial products and services, usually acquired through related work experience, and technical knowledge (or working toward technical knowledge) of investments, tax, legal, and operations usually acquired through formal education or related experience will be required. Skills in problem solving and leadership are necessary to service the client relationships. Organization and analytical skills are required to work collaboratively with the WM&T department and other bank colleagues to meet and exceed Division goals. Verbal and written communication skills will require a professional and courteous manner when dealing with all types of clients, prospective clients, professionals, and committees. Must also work well with customers and staff, be very detail oriented and be a self-starter. Seek continued development of investment, fiduciary and advisory skills through training and experience. Focused client service with responsiveness, diplomacy, and tact; proactive client contacts through written and verbal communication with suitable frequency. Exhibits excellent time management skills. Builds and maintains knowledge of fiduciary and investment standards and practices, applies investment/fiduciary knowledge and judgment to investment/fiduciary relationships. Understands and complies with internal policies, processes, and procedures. Recognizes investment/fiduciary risk issues and seeks appropriate guidance and resolution. Mastery of the SEI wealth management platform. Knowledge of Microsoft office, Excel spreadsheet design and preparation, the ability to format and compose business letters; develop forms/templates using MS software and the preparation of Power Point presentations.
