GENERAL STATEMENT OF DUTIES:
The Admissions Coordinator's primary function is to lead the coordination of activities required to admit prospective patients to Moody Neurorehabilitation Institute programs. This coordination of activities includes but is not limited to efficiently processing referrals from receipt, verification of benefits, screening, obtaining medical acceptance by Moody Neuro clinical director(s), preauthorization, and finally coordination of the admission date and consent form execution on day of admission. The Admissions Coordinator is expected to effectively communicate each step of the process to internal and external stakeholders and therefore should have exceptional written and verbal communication skill. The Admissions Coordinator will uphold the mission, philosophy, purpose and goals of the organization while maintaining strict confidentiality of personnel and trainee/patient data and information in the performance of assigned duties.
MAJOR DUTIES AND RESPONSIBILITIES:
- Coordinates, and completes daily department activities and efforts to ensure efficient service is provided to all applicants for admission in a timely fashion.
- Effectively communicates each step of the admission process, including but not limited to detail regarding funding (coverage and authorization), screening and medical acceptance to the program to appropriate internal and external stakeholders.
- Collects detailed benefit and coverage information for each prospective Moody Neuro patient. This detail should include but is not limited to primary and secondary coverage for any/all services offered by Moody Neuro, exclusions to the individual medical policy, exceptions to the policy that may or may not follow state mandates.
- Processes information necessary to complete all files for screening, complete file and forward to Program Director for program appropriateness and coordination of admission dates, taking into account the needs of all parties involved i.e. families, payers and the facilities.
- Continuously updates CRM and ADT/EMR systems provided for admissions reporting and attend meetings to discuss status of admissions (ie. Pipeline).
- Initiates and obtains initial insurance authorization for patient stay. Negotiating cost of services (rates) with insurance company agents, individuals, attorneys, etc., all while staying within departmental guidelines and ensuring written approval has been received by all necessary parties. Collect detailed information regarding authorization including potential coverage expiration.
- Coordinates peer to peer meetings between insurance agents and internal Medical Director as needed.
- Disseminates pertinent information gathered during the admissions process to the treatment team including but not limited to funding status, legal status, medical status (including equipment, meds and labs), family/social matters and previous history, as necessary to facilitate a successful stay.
- Ensures written approval for services and initial payment for services has been received and a copy each is forwarded to case management.
- Schedules and conducts admission meeting with applicant and family to have all appropriate paperwork signed and forward to various departments, as needed.
- Attends on-campus marketing functions and conduct tours, as needed.
- Discharges duties in accordance with Moody Neuro organizational policy, CARF and other accrediting bodies.
- Other duties as assigned.

Education:
- Two years of college or equivalent experience.
Experience:
- Two years experience in health care setting with specific experience in the area of health insurance claims.
