Description

Moon Valley Nurseries is seeking a Procurement Administrator to lead Coupa AP system enhancements, supplier onboarding, and troubleshooting to optimize procurement operations. This role requires strong problem-solving skills, system expertise, and vendor management experience to ensure seamless functionality and adoption of Coupa.

The ideal candidate will have a background in Accounts Payable (AP), procurement operations, and finance systems. They must be proficient in vendor onboarding, system integrations, troubleshooting, ACH payments, and training while maintaining compliance with company policies and best practices.

 Key Duties and Responsibilities                                                                                                                                                                            

Coupa Implementation & System Integration

• Lead the system enhancements and integration of Coupa AP software, ensuring smooth adoption across vendors and internal teams.
• Administer Coupa users and suppliers, managing system access and functionality.
• Configure and maintain supplier punch-outs and catalogs, ensuring streamlined procurement workflows.
• Set up and manage Coupa analytics and reports, providing insights into procurement operations.
• Collaborate with IT and finance teams to resolve technical issues and optimize system functionality.

Vendor Onboarding & Support

• Onboard suppliers into Coupa, ensuring all vendor data, tax forms, banking details, and payment preferences are properly set up.
• Provide technical support and troubleshooting for vendors experiencing system issues.
• Work directly with suppliers to ensure invoice submission aligns with company policies and Coupa requirements.
• Develop training materials and conduct training sessions to educate vendors and internal teams on system usage and best practices.

Troubleshooting & Process Optimization

• Identify and resolve system errors and vendor processing issues, ensuring uninterrupted procurement operations.
• Troubleshoot integration challenges between Coupa and internal finance systems.
• Monitor ACH payments, ensuring accuracy and timely transactions.
• Analyze and improve procurement workflows, making recommendations for automation and efficiency.

Finance & Compliance

• Ensure compliance with company financial policies and procurement regulations.
• Maintain accurate records of vendor interactions, system updates, and issue resolutions.
• Support finance teams with month-end and year-end system reconciliation related to vendor accounts.

Qualifications

Qualifications: Knowledge, Skills & Abilities                                                                                                                                                                            

• 3 years of experience in Accounts Payable (AP), Procurement, Vendor Management, or Coupa Administration.
• Hands-on experience with Coupa, SAP Ariba, or similar procurement/AP software is highly preferred.
• Strong background in troubleshooting system issues, vendor onboarding, and financial software system enhancements.
• Exceptional problem-solving skills and the ability to work with cross-functional teams.
• Prior experience training vendors or internal teams on procurement systems is a plus.
• Ability to analyze and optimize procurement processes, ensuring efficiency and compliance.
• Proficiency in Excel and financial reporting tools.

Education                                                                                                                                                                            

BS Degree in Finance, Accounting, or equivalent experience

 Physical requirements/Working Conditions                                                                                                                                                                            

While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing all day. The employee must frequently lift and/or move items over 15 pounds. Able to work outdoors for extended periods of time in possibly extreme conditions, including rain, heat, sun, and wind.
