Job Overview : The Project Coordinator position serves as an essential part of our Service Projects team within our Service Department. This role provides administrative support for the Project Managers, Project Executives, Field Technicians, and the Department Manager to ensure successful execution of projects. The ideal candidate combines strong organizational and problem-solving skills with the ability to manage multiple tasks, align resources, and navigate challenges. By maintaining seamless coordination and clear communication, the Projects Coordinator plays a critical role in upholding our commitment to excellence and customer satisfaction.

Responsibilities :
- Maintain scheduling of the technicians and communicate with the area service dispatcher.
- Responsible for issuance of purchase orders to technicians and project managers.
- Responsible for setting up projects within ERP software, enter project budgets, enter schedule of values, enter budget revisions for change orders, clean up committed costs, close projects.
- Obtain permits, prepare submittal packages, coordinate onsite inspections, comply with contract specifications for proper approvals, e.g., Bonding.
- Review and verify A / P invoices against purchase orders and prepare for approval. When there is discrepancy with Purchase order, communicate with vendor & PM to resolve and get credit issued.
- Prepare timecards for approval and entry into payroll system.
- Prepare all Time & Material billings by job. Reconcile job cost reports and edit for accuracy and completeness.
- Billings - Coordinate with Project Managers to assure billings are accurate and timely and issue all necessary paperwork.
