Moore & Van Allen PLLC, a dynamic and fast-growing full-service law firm of more than 400 attorneys and professionals, is seeking an entry-level Marketing Assistant to join its Charlotte, NC office. The Marketing Assistant provides essential support to the firm's marketing efforts. This role assists with a variety of tasks including event support, project status tracking, and administrative support. The ideal candidate will be highly organized, detail-oriented, and eager to develop their marketing skills in a professional services environment.
Essential Duties and Responsibilities:
- Maintain a current and updated project tracker including status, deadlines, and communications.
- Assist with meeting preparations including creating and distributing materials.
- Coordinate technology and digital presentation needs for projects and meetings, in conjunction with IT Department.
- Maintain inventory of marketing materials and supplies.
- Assist with maintenance of sponsorship database and details of partnerships including benefits packages, usage, and invoicing/payments.
- Provide support for firm-sponsored and internal events including scheduling and logistics
- Assist with preparing materials such as name tags, signage, presentations, and promotional items.
- Help manage attendee lists, RSVPs, and event communications.
- Assist with on-site event setup, registration, execution, and cleanup as needed.
- Collect attendee feedback and assist in compiling event performance data.
- Support the preparation of post-event reports and recommendations.
- Maintain calendars and timelines to ensure deadlines are met.
- Help track marketing expenses, assist with budget reconciliation, and process invoices.
- Perform data entry and quality control of marketing data as directed.
- Provide general administrative support to the marketing team as needed.
- Works closely with other members of the marketing and business development team
- Other duties as assigned
- Regular in-person attendance is required to perform essential functions of this interactive position.
Qualifications & Experience:
- Bachelor’s degree in Marketing, Communications, Business Administration, or a related field, or equivalent combination of education and experience.
- Must be available to work early mornings, evenings, and weekends as needed to support events or urgent marketing-related matters. Flexibility is required to accommodate time-sensitive needs.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with design tools like Canva or Adobe Creative Suite is a plus.
Physical Requirements:
- The work is primarily sedentary.
- It requires the ability to communicate effectively using speech, vision, and hearing.
- The work requires the use of hands for simple grasping and fine manipulations.
- The work at times requires bending, squatting, and reaching, with the ability to lift, carry, push, or pull light weights.
