SUPERVISION RECEIVED : Works under the supervision of the Associate Dean of the School of Nursing and Public Health.
SUPERVISION EXERCISED : Assists in the supervision of student workers.
POSITION SUMMARY : This position provides comprehensive 12-month administrative and clinical support for two year-round adult programs, six graduate programs, and one doctoral program within the School of Nursing and Public Health. The role supports a diverse team of 22 full-time faculty members.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES :
- Provides primary support in correspondence and communication, school meetings and activities, and operations management, which are facilitated by or the responsibility of the Directors of the Accelerated Post-Baccalaureate (PB), RN to BSN, MSN, MSN / NP, and DNP programs. In addition, works with the clinical education coordinator for the School of Nursing and Public Health.
- Works with other nursing and public health administrative support staff to ensure smooth operations of all nursing and public health programs.
- Answers telephone in a customer-friendly manner, routes messages to appropriate offices / departments, and provides accurate information to prospective / enrolled students, university personnel, and the community.
- Prepares sensitive correspondence of a legal or confidential nature.
- Adheres to institutional policies and procedures for employee and environmental safety, ensuring compliance with all applicable regulations and promptly addressing and reporting safety concerns following established protocols.
- Ensures accuracy and compliance by verifying and monitoring student credentials.
- Accurately prepares, organizes, and maintains confidential records for prospective and current PB, RN-BSN, MSN, MSN-NP, and DNP students and faculty and staff personnel files.
- Provides a preliminary transcript review of incoming graduate students.
- Maintains comprehensive student databases for PB, RN-BSN, MSN, MSN NP, and DNP programs, tracking contact information, course enrollment, attrition and completion rates, and licensure and certification pass rates.
- Maintains electronic folders for students' study plans as needed for all graduate and doctoral programs.
- Administers evaluation surveys through Qualtrics and compiles results for PB, RN-to-BSN, MSN, MSN-NP, and DNP programs.
- Manages databases to track and analyze faculty performance and workload for statistical purposes.
- Works with the associate dean, program directors, and the clinical education coordinator to prepare and manage communications with adjunct faculty, clinical preceptors, and students, including serving as administrator for the Typhon web-based program.
- Updates the clinical management system's program, clinical site, student, and clinical instructor data.
- Collaborates with the nursing Student Experience Mentor for the graduate and adult nursing programs.
- Participates with healthcare networks to support and enhance recruitment initiatives.
- Develops and manages shared Google spreadsheets to track and organize clinical placement assignments for all NP students across programs.
- Manages NP clinical education sites, onboarding, reviewing, and approving all compliance documents for students enrolled in the NP program.
- Coordinates and schedules both formal and informal meetings for faculty, as well as prospective and current students.
- Works closely with faculty to plan and coordinate special events for the School of Nursing and Public Health, including student and faculty events, PB / MSN / MSN NP / DNP student orientations, nursing celebrations, and other activities supporting the associate dean, program directors, clinical education coordinator, and faculty initiatives.
- Provides administrative support and partners with faculty to organize and coordinate Sigma events.
- Works with associate dean, program directors, and clinical coordinator to prepare and manage communications with adjunct faculty, clinical preceptors, and students.
- Performs other job-related duties as may be assigned by the associate dean or requested by different schools of nursing and public health faculty.
- Oversees the distribution of marketing and promotional materials to support the adult programs within the school, ensuring alignment with branding and strategic objectives.
