Position Summary
The Contract Lifecycle Management System Administrator ( CLMSA ) manages and oversees an organization-wide Contract Lifecycle Management System ( CLMS ). The CLMSA provides technical assistance and support for corporate contract management software and integrated systems components. This role requires deep system expertise to implement changes, provide comprehensive training, and develop creative solutions for complex challenges. The CLMSA will assist the Office of General Counsel in managing this organization-wide CLMS , including capacity planning, configuration, database design, installation, migration, and performance monitoring.
The CLMSA must have proven CLMS administration and project management / legal operations experience. The role requires a commitment to continuous learning and system mastery to effectively support and enhance the CLMS platform. The CLMSA works closely with cross-departmental stakeholders, supporting the implementation, maintenance, population, and enhancements of the organization’s CLMS . In addition to partnering with MSM IT in maintaining the CLMS , the role performs various related legal operations functions within the organization. This CLMSA must be collaborative, extremely organized / methodical, results-driven, and have exceptional communication skills and robust time management skills.
Responsibilities :
Develop comprehensive system expertise through continuous learning and hands-on experience to effectively implement system changes, troubleshoot issues, and optimize CLMS performance.
Lead the development and execution of a robust CLMS technical training program, including creating detailed training materials, conducting hands-on sessions, and developing user guides that accommodate various learning styles and skill levels.
Implement and manage system modifications to ensure the CLMS continues to meet evolving business needs, requiring deep understanding of system architecture and capabilities.
Provide advanced troubleshooting and creative problem-solving for complex system issues, working closely with stakeholders to develop and implement effective solutions.
Manage all aspects of CLMS system administration as its super user (e.g., CLMS vendor relationships, user credentials / profiles, batching, security, updates, and audits).
Design and implement workflows for various departments based on specific needs and system parameters, while driving related change management efforts.
Manage the CLMS repository functionalities and oversee departments in strategic waves of data migration, including importing legacy contracts, maintaining quality control of metadata, and linking associated documents.
Create and maintain contract templates, forms, and email templates using CLMS -specific field variables to enable the generation of contract documents based on CLMS metadata.
Work with stakeholders to design, generate, and customize CLMS reports, tickler / reminders, and dashboards to meet business needs and drive internal KPIs.
Sends monthly contract reports and lead quarterly contracts audit to track contract statuses and key metrics.
Minimum Qualifications
BS / BA degree in related discipline (e.g., Legal, business, project management), paralegal degree preferred
At least 3-5 years of relevant experience as a CLMS systems administrator or manager, preferably in a corporate in-house legal department
Demonstrated ability to quickly learn and master new systems, with a proven track record of implementing system improvements and solving complex technical challenges
Strong technical aptitude with experience in developing and delivering effective training programs and materials
Experience with building e-signature workflows using AdobeSign, DocuSign, or similar applications
Demonstrated experience troubleshooting problems with comprehensive knowledge of system architecture and information flow
Advanced analytical and problem-solving skills, with proven ability to develop innovative solutions for complex technical and operational challenges
Proven ability to manage multiple projects to conclusion, on time / budget, and without compromise to quality of work output, as well as competing priorities in a dynamic, fast-paced environment
Excellent organizational, interpersonal, and collaborative skills to work effectively with teams throughout the organization and with external business partners
Proficient with developing presentations, training guidelines, and contract reports using Microsoft Office (Word, Excel, and PowerPoint)
