What are the responsibilities and job description for the Executive Assistant and ACTR position at Morgan Business Consulting, LLC?
We are currently seeking an Executive Assistant and ACTR to join our team supporting NAVWAR 6.0 in San Diego. This is a hybrid role that requires at least four days per week on-site with additional days on-site as required.
What you’ll do:
The Executive Assistant and Director of Operations will provide administrative support to a NAVWAR Competency Lead, Deputy Competency Lead, and Director of Operations to support day-to-day functions of the Program Management and Acquisition Office
Responsibilities:
- Deliver program management and strategic planning across the POM and Budgeting Cycles
- Support government leadership with exceptional organizational and communication skills.
- Oversee schedules, manage calendars, appointments, meetings and engagements, and travel arrangements with accuracy.
- Plan internal and external engagements, including meetings, conferences, and events.
- Assist in the development of briefing material and drafting documents in accordance with Navy Correspondence Manual guidelines.
- Coordinate, monitor, and execute data calls to gather inputs from both internal and external stakeholders. Consolidate and communicate information from data calls to government leadership for further action.
- Provide Assistant Customer Technical Representative (ACTR) support and serve as the first point of contact for all Information Technology (IT) matters, questions, and troubleshooting.
- Build and maintain essential relationships with direct clients and supporting commands
- Evaluate program deficiencies, recommend improvements, and coordinate their implementation
- Transcribe and summarize meeting minutes and notes and assist in the preparation and closure of action items
- Assist in the scheduling of appointments in support of Government customer, the coordination of arrangements for meetings and conferences, and the arrangement of travel reservations and accommodations
- Attend meetings and program reviews, assist with compiling presentations, written materials, and/or electronic communications as required
Qualifications:
- At least three years of NAVWAR programmatic and/or administrative experience with duties including:
- Managing incoming and outgoing communications at the Program Manager-level.
- Facilitating meetings by creating agendas, compiling documents, and assisting with presentations and briefs.
- Attending meetings to record minutes and monitor follow-up action items to completion.
- Experience with NMCI (NIPRNet and SIPRNet) accounts and IT troubleshooting for PC desktops, Multi-Function Devices, and printers.
- Ability to interact effectively with individuals at all levels to assist in the planning and coordination of activities with other NAVWAR and Navy organizations.
- Experience managing multiple activities with different clients, including changing priorities and short turn-around timelines.
- Understanding of Navy program acquisition, logistics, planning yards, and ship technical data
- Proficiency using Microsoft Word, Excel, PowerPoint, and SharePoint
- Active DOD SECRET security clearance
- Bachelor’s degree in an Engineering discipline from an institution accredited in the United States
- Excellent attention to detail, organizational skills, and ability to multitask
- Strong verbal and written interpersonal, communication, and presentation skills
- Ability and willingness to travel domestically and internationally using a credit card or prepaid debit card as required by MBC and/or clients
