- Administrative Support:
- Manage calendars, schedule meetings, and coordinate appointments for the Directors.
- Prepare and distribute correspondence, memos, reports, and presentations as needed.
- Maintain accurate records and documentation, including filing and data entry.
- Communication Liaison:
- Serve as the primary point of contact for internal and external inquiries, redirecting them as appropriate.
- Facilitate communication between departments and stakeholders within the CCRC.
- Project Coordination:
- Assist in planning and organizing special projects and events led by the Environmental Services department.
- Monitor project timelines and deliverables, ensuring deadlines are met.
- Financial and Resource Management:
- Assist with budget tracking, expense reports, and procurement processes.
- Maintain inventory records for supplies and equipment used by the Environmental Services team.
- Documentation and Compliance:
- Ensure compliance with regulatory requirements by maintaining accurate records and documentation.
- Assist with preparing materials for audits and inspections.
- Team Support:
- Collaborate with other administrative staff and departments to support overall CCRC operations.
- Provide backup support to other administrative roles within the CCRC when needed.
- Proven experience as an administrative assistant or similar role, preferably in a healthcare or senior living environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Excellent organizational skills with the ability to prioritize tasks and manage time effectively.
- Strong verbal and written communication skills.
- Attention to detail and problem-solving abilities.
- Ability to handle confidential information with discretion.
- Associate degree or higher in Business Administration, Healthcare Administration, or a related field.
- Familiarity with environmental services or facilities management operations.
- Experience with scheduling software and electronic health records (EHR) systems.
