We are seeking a Clinic Administrator to support our mission by ensuring seamless clinic operations and providing excellent client service. This role is ideal for a highly organized and adaptable professional who thrives in a fast-paced behavioral healthcare setting.
Position Overview:The Clinic Administrator plays a critical role in ensuring smooth clinic operations by managing client services and supporting neurofeedback technicians and other providers. This individual must be highly adaptable, organized, and able to manage the ebb and flow of a dynamic clinic environment, responding proactively to scheduling changes, client needs, and operational challenges. The role requires strong leadership in managing daily workflows, coordinating staff, and ensuring an efficient and professional experience for both clients and team members.
This position offers up to 35 hours per week, with some flexibility based on clinic needs and candidate availability.
Key Responsibilities:Team & Workflow Coordination:· Ensure efficient daily operations by managing scheduling and workflow for neurofeedback technicians and support staff.
· Act as a point of contact for clients and staff, ensuring smooth communication and problem resolution.
· Foster a collaborative and professional clinic environment, supporting team members in their roles.
· Adapt quickly to changing clinic demands, ensuring smooth transitions between client appointments and administrative duties.
Front Desk & Client Services:· Serve as the first point of contact for clients, ensuring a welcoming and professional experience.
· Handle incoming calls, emails, and inquiries related to services and scheduling.
· Manage client appointment scheduling to optimize provider availability and client needs.
· Stay responsive to last-minute scheduling adjustments and client concerns.
Financial & Payment Management:· Process client payments and maintain accurate financial records.
· Verify insurance benefits and assist clients with billing inquiries.
· Coordinate with the business manager on invoicing and financial reconciliation.
Contracts & Compliance:· Assist with contract management for client service agreements, vendors, and external partners.
· Ensure compliance with clinic policies, HIPAA regulations, and industry standards.
· Track contract renewals and necessary documentation updates.
Administrative & Operational Support:· Maintain clinic records, documentation, and filing systems.
· Assist with administrative tasks to improve workflow efficiency.
· Coordinate office supplies, equipment maintenance, and vendor relationships.
Qualifications & Experience:· Bachelor’s degree (preferred) in healthcare administration, business management, psychology, or a related field, or equivalent experience.
· Minimum 5 years of experience in a clinic administrator, office manager, or similar role in a behavioral healthcare setting.
· Strong team management experience, with the ability to coordinate staff workflow and clinic operations.
· Ability to adapt to fluctuating clinic demands, problem-solve in real time, and maintain efficiency in a fast-paced environment.
· Proficiency in scheduling software, client management systems, and Microsoft Office Suite.
· Experience handling payments, invoicing, and financial transactions.
· Familiarity with contract management and healthcare compliance regulations (HIPAA).
· Excellent interpersonal, communication, and problem-solving skills.
· Highly organized, detail-oriented, and capable of managing multiple tasks efficiently.
Preferred Qualifications:· Experience in a psychology, counseling, or mental health services setting.
· Knowledge of electronic health records (EHR) systems.
· Bilingual in English and Spanish (preferred but not required).
