Salary : $20-$25 / hr
Job Overview :
We are seeking a detail-oriented and organized Payroll Specialist to manage and process our organization's payroll accurately and on time. The ideal candidate will be responsible for calculating employee wages, ensuring compliance with tax regulations while maintaining state compliance documents, and maintaining payroll records. This is an excellent opportunity for someone with a strong understanding of payroll systems, financial procedures, and HR policies.
Key Responsibilities :
Payroll Processing :
Accurately process payrolls for all employees & 1099 consultants in a timely manner.
Ensure that all employee pay is correct, including regular wages, overtime, expense reimbursement, bonuses, commissions, and deductions.
Review and verify timesheets, expense reports, SharePoint documents, time-off requests, and attendance records to ensure accuracy before payroll processing.
Tax Compliance :
Ensure proper withholding of taxes and deductions (e.g., federal, state, local, social security, benefits).
Prepare and file payroll taxes, ensuring compliance with applicable tax laws and deadlines. This is done through ADP but must be monitored by PR Specialist.
Prepare year-end tax documents such as W-2s and 1099s for employees and contractors. This is done through ADP but must be monitored by PR Specialist.
Recordkeeping & Documentation :
Maintain accurate records of payroll transactions, employee earnings, and deductions.
Manipulate excel documents for journal entries each payroll for accounting.
Maintain time & expense documents as they pertain to payroll.
Reporting & Analysis :
Generate payroll reports, including but not limited to payroll summaries, tax filings, and benefits deductions.
Assist in the preparation of internal and external audits related to payroll.
Communication & Support :
Serve as the point of contact for payroll-related inquiries from employees, management, and external agencies.
Internal communication with employees on time entry / accuracy required.
Address and resolve payroll discrepancies and employee concerns.
Works closely with HR, Accounting, and Recruiting Departments.
Systems & Technology :
Utilize payroll software and systems to ensure the efficient processing of payroll data.
Utilize employee data systems to ensure accurate data as it pertains to payroll.
Utilize benefits systems to ensure accurate benefit deductions as they pertain to payroll.
Stay up to date on software upgrades and new features to improve efficiency and accuracy in payroll processing.
Compliance & Policies :
Ensure payroll procedures and practices comply with applicable labor laws, collective bargaining agreements (if any), and company policies.
Monitor and apply changes in laws and regulations related to wages, tax rates, and employee benefits.
Qualifications & Skills :
Education & Experience :
Associate's degree in accounting, Finance, Human Resources, or a related field, or equivalent experience in a related field.
2 years of experience in payroll processing.
Experience with payroll software (ADP) is highly desirable.
Skills :
Strong knowledge of payroll and tax regulations in regard to payroll.
Excellent attention to detail and accuracy.
Ability to handle confidential and sensitive information.
Proficient in Microsoft Office Suite especially Excel
Strong organizational and time-management skills.
