Required Qualifications
  • Bachelor’s Degree.
  • Three to five years of experience in registration and student academic records management within a community college or university setting.
  • Experience in personnel management.
  • Proficiency in the use of computerized student information systems.
  • Strong knowledge of FERPA guidelines and other relevant federal and state record regulations.
  • Ability to work a flexible schedule.

Preferred Qualifications
  • Master’s Degree with five to seven years of experience in registration and student academic records management in a community college or university setting.
  • Proven expertise in managing the Ellucian Colleague SIS.
  • Strong interpersonal skills with the ability to effectively interact with students, faculty, and staff.
  • Detail-oriented, self-motivated, with a patient and empathetic approach.
  • Demonstrated ability to cultivate a collaborative and effective team environment.
  • Proficiency in web-based registration systems.
  • Exceptional leadership, organizational, analytical, and communication skills.

Job Summary
The Registrar is responsible for overseeing and managing all facets of Registrar services, including academic records management, coordination of information technologies that influence student admissions, registration, academic support, semester course schedule data entry, and registration processes. Additionally, responsible for enrollment reporting and the supervision of all Records and Registration staff.

Specific Job Duties
Leadership and Management:
  • Oversee and direct all functions related to Registration and Student Records.
  • Hire, train, mentor, and supervise assigned staff, support in the recruitment, selection, onboarding and on-going development of the Department’s staff.
  • Provide guidance and training to support staff on best practices and procedures for registration, record maintenance, enrollment verification, transcript production, course schedule creation, and FERPA compliance.
  • Communicate Registrar office procedures and updates to faculty, staff, and student services to ensure alignment and awareness across the institution.


Registration and Academic Record Management:
  • Plan and coordinate registration schedules and processes in alignment with Morton College policies and procedures.
  • Ensure the accurate retention and management of academic records for all enrolled students, both current and former.
  • Supervise the processes related to student course withdrawals and University withdrawals.
  • Oversee the application process for graduation, ensuring accurate transcript audits. · Manage the collection and reporting of student grades, ensuring proper documentation and compliance.
  • Supervise the preparation of permanent academic records and the issuance of transcripts.
  • Plan and manage key registration processes, including student purges for non-payment, academic record maintenance, 10-day verifications, midterm attendance tracking, final grade processing, and grade report distribution.

Technology and Process Improvement:
  • Research, evaluate, and implement new technologies or processes to enhance student and staff experiences, including managing systems such as the Colleague student information system, online registration platforms, distance learning programs, degree audit tools, and transcript production systems.
  • Collaborate with the University’s Information Technology Services and Office of Institutional Research to maintain the integrity of student data.

Reporting and Compliance:
  • Generate and produce statistical reports regarding student records, registration totals, and enrollment, as requested by the administration.
  • Assist in audits of student records by internal and external agencies, such as the National Clearinghouse, Financial Value Transparency, and Gainful Employment reporting.

Course Scheduling and Catalog Development:
  • Contribute to the development of the annual college catalog and the fall, spring, and summer course schedules.
  • Supervise the input and verification of course information into the computer database for class schedule production.

Collaboration and Committee Involvement:
  • Serve on departmental and institutional committees as required.

Other Responsibilities:
  • Maintain and update job knowledge by participating in training and educational opportunities, reading professional publications, and participating in professional organizations.
  • Perform other duties and special projects as assigned

Salary Range
$75-83k annually
