Job Title: Law Office Receptionist
Job Summary:
The Morton Law Firm Receptionist serves as the first point of contact for clients and visitors. This role requires excellent customer service, strong organizational skills, and the ability to handle a variety of administrative tasks to support the office staff and attorneys.
Key Responsibilities:
Client Interaction:
- Greet clients, visitors, and vendors in a professional and friendly manner.
- Answer incoming calls, direct them to the appropriate attorney or department, and take messages as needed.
- Provide general information about the law firm’s services to clients and potential clients.
- Ensure that clients are checked in and directed to the correct waiting area or attorney.
- Administrative Support:
- Perform general office duties such as filing, data entry, and maintaining office supplies.
- Assist in scheduling appointments and maintaining calendars for attorneys.
- Ensure that all client records are maintained accurately and in compliance with legal standards and confidentiality requirements.
Document Management:
- Assist in preparing and organizing legal documents and forms.
- Ensure client files and legal documents are correctly filed and easily accessible.
- Provide assistance with photocopying, faxing, and scanning documents as needed.
- Office Coordination:
- Maintain a clean and professional reception area.
- Coordinate with other staff members to ensure smooth office operations.
- Assist with the preparation of meeting rooms for client meetings or conferences.
- Billing and Financial Tasks:
- Assist with tracking client billing information, including collecting payments and preparing invoices.
Skills & Qualifications:
- Communication: Excellent verbal and written communication skills; ability to interact professionally with clients, staff, and attorneys.
- Organizational Skills: Ability to manage multiple tasks and priorities in a fast-paced environment.
- Attention to Detail: Ability to handle documents and client information with accuracy and discretion.
- Computer Skills: Proficiency in using office software (e.g., Microsoft Office) and familiarity with law office management software is a plus.
- Professionalism: Strong customer service skills and a professional demeanor at all times.
- Experience: Prior experience in a receptionist or administrative role, preferably in a legal environment, is preferred.
Education:
- High school diploma or equivalent required; associate’s degree or some college coursework preferred, but not required.
