Job Title: Law Office Receptionist

Job Summary:

The Morton Law Firm Receptionist serves as the first point of contact for clients and visitors. This role requires excellent customer service, strong organizational skills, and the ability to handle a variety of administrative tasks to support the office staff and attorneys.

Key Responsibilities:

Client Interaction:

  • Greet clients, visitors, and vendors in a professional and friendly manner.
  • Answer incoming calls, direct them to the appropriate attorney or department, and take messages as needed.
  • Provide general information about the law firm’s services to clients and potential clients.
  • Ensure that clients are checked in and directed to the correct waiting area or attorney.
  • Administrative Support:
  • Perform general office duties such as filing, data entry, and maintaining office supplies.
  • Assist in scheduling appointments and maintaining calendars for attorneys.
  • Ensure that all client records are maintained accurately and in compliance with legal standards and confidentiality requirements.

Document Management:

  • Assist in preparing and organizing legal documents and forms.
  • Ensure client files and legal documents are correctly filed and easily accessible.
  • Provide assistance with photocopying, faxing, and scanning documents as needed.
  • Office Coordination:
  • Maintain a clean and professional reception area.
  • Coordinate with other staff members to ensure smooth office operations.
  • Assist with the preparation of meeting rooms for client meetings or conferences.
  • Billing and Financial Tasks:
  • Assist with tracking client billing information, including collecting payments and preparing invoices.

Skills & Qualifications:

  • Communication: Excellent verbal and written communication skills; ability to interact professionally with clients, staff, and attorneys.
  • Organizational Skills: Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Attention to Detail: Ability to handle documents and client information with accuracy and discretion.
  • Computer Skills: Proficiency in using office software (e.g., Microsoft Office) and familiarity with law office management software is a plus.
  • Professionalism: Strong customer service skills and a professional demeanor at all times.
  • Experience: Prior experience in a receptionist or administrative role, preferably in a legal environment, is preferred.

Education:

  • High school diploma or equivalent required; associate’s degree or some college coursework preferred, but not required.

Job Type: Full-time

Pay: $13.50 - $14.50 per hour

Expected hours: 40 per week

Schedule:

  • 8 hour shift
  • No weekends

Work Location: In person
