Job Description Summary

At Vera Whole Health, our Site Supervisor is responsible for many of operational and administrative
functions core to the success of our care centers. They will assure the delivery of excellent patient
service within the care center and in follow up. The Site Supervisor ensures the care center operates
efficiently by managing the flow of patient services, monitoring resources, and works collaboratively
with the care center providers and the Practice Manager.

Site Supervisor
At Vera Whole Health, our Site Supervisor is responsible for many of operational and administrative
functions core to the success of our care centers. They will assure the delivery of excellent patient
service within the care center and in follow up. The Site Supervisor ensures the care center operates
efficiently by managing the flow of patient services, monitoring resources, and works collaboratively
with the care center providers and the Practice Manager.
Position Qualifications/Essential Functions:
  • Accountability for assuring the mission, vision, values of Vera Whole Health using the coach approach in accordance with Personnel Policies.
  • Participates in the interviewing of allied staff in the clinics, for new hires will assist with tracking of successful completion of orientation and new hire checklists
  • Supports care center teams through new company initiatives and process changes; champions change and facilitates rollout strategies within the care center for company initiatives and process changes.
  • Manages NextGen templating and ensures that the scheduling guidelines are followed.
  • Manages projects and sprints, as assigned to support departmental and organizational strategic initiatives.
  • Leads daily huddles and supports the agenda creation and leadership of care center team meetings.
  • Works alongside the Practice Manager to monitor patient experience in the care center including the assessment and enhancement of workflow, resolution of patient complaints, and ensuring team member engagement to improve the overall clinic experience.
  • Works alongside the Practice Manager to review monthly reporting, budgeting, staff performance, observation log creation / maintenance and Performance Guarantee progress assessment.
  • Attends Practice Manager meetings as requested.
  • Runs open chart reports and delegates as appropriate, coordinating the unlocking of charts when needed.
  • Coordinates coverage for team PTO and call outs.
  • Responsible for the monitoring of open chart reports, disseminating general observations and trends to the Practice Manager.
  • Responsible for inventory management, including the approval of clinical and office supply orders.
  • Supports the training of new hires and the retraining of existing staff as needed.
  • Monitors the patient schedule.
  • Supervision of allied staff (possible limited capacity or exception)
Partnership with PM for the following:
  • 1:1 facilitation
  • Coaching/mentoring of allied staff
  • Payroll and vacation review and approval
Additional Qualifications Preferred:
  • Proficient with medical terminology.
  • EMR familiarity experience.
Education/Experience:
  • High School diploma or GED required
  • Minimum 3-5 years Healthcare experience
  • Minimum 1-year supervisory experience or equivalent leadership training.
  • We require CPR certification (BLS) pre-hire.
  • Documentation of proof of a negative TB test in the last 90 days before start-date.
  • Strong computer skills including experience with MS Office suite.

Physical Demands:
  • Requires looking at computer monitor/screen for extended periods of time.
  • Requires repetitive motion and use of hands for computer keyboard and mouse.
  • Requires sitting for extended periods of time.
  • Requires travel to different clinics.
Compensation: $50,600K - $75,900K annual salary & bonus eligible
