Job Summary:
We are seeking a highly organized and customer-focused Office Administrator to join our team. This individual will play a key role in ensuring the smooth operation of daily office activities, providing exceptional customer service, managing office documentation, handling billing processes, and assisting with various administrative tasks. The ideal candidate will possess excellent communication skills, a strong attention to detail, and the ability to work efficiently in a fast-paced environment.
Key Responsibilities:
- Customer Service: Provide exceptional customer support both over the phone and in person. Address customer inquiries, concerns, and issues promptly, professionally, and with a strong focus on customer satisfaction.
- Billing & Accounts Management: Handle billing inquiries, process payments, generate invoices, and ensure accuracy in all financial transactions. Assist with tracking and resolving any billing discrepancies.
- Office Documentation: Manage and organize office documents, including filing, scanning, and maintaining both physical and digital records. Ensure proper storage and retrieval of documents as needed.
- Phone Support & Service Explanation: Serve as the first point of contact for customer calls. Effectively explain services to customers, guide them through the offerings, and provide information on pricing and features.
- Scheduling & Appointments: Coordinate schedules and appointments for team members, ensuring that all meetings and events are properly arranged and communicated.
- Data Entry & Reporting: Perform data entry tasks and assist with generating reports, maintaining records of company activities, and ensuring accuracy in all data management.
- General Administrative Tasks: Support management and other staff with various administrative tasks, including drafting emails, preparing presentations, and assisting with event coordination.
