Position Summary:
The school secretary/receptionist serves as the first point of contact for all individuals entering the building. The secretary/receptionist is responsible for greeting all visitors in a professional/friendly manner to assure the smooth and efficient operation of the school office so that the maximum positive impact on the education of students can be realized. The secretary/receptionist will have knowledge of a school environment, be an organized, proactive and an open communicator that is a solution-oriented individual. The secretary/receptionist may also be responsible for completing State reports, managing child nutrition claims, collecting and copying required documents from parents or other schools, process student enrollment, transfers, and withdrawals and maintain student cumulative folders. The secretary/receptionist will have the general knowledge of school attendance policies, procedures, rules, and regulations.
Duties and Responsibilities:
- Coordinate office and clerical support to assist with the efficient operation of a busy office to keep it running smoothly and efficiently
- Posse excellent interpersonal and communication skills, and high level of integrity regarding student records, employment records and campus issues
- Must be self-motivated, possess the ability to work under pressure, able to handle multiple tasks and work collaboratively with frequent interruptions in a productive and positive manner, meeting deadlines as assigned
- Follow all school policies to include health and safety policies to administer first aid to ill/injured students in the absence of the school nurse
- Develop positive school/community relations and acts as liaison between the school and community
- Maintain working relationships, communications and collaborations both orally and in writing with school administrators, parents, students, staff and the community
- Greet guests in a professional, courteous, and hospitable manner
- Answer phone, responds to routine questions, and routes calls to appropriate persons
- Announce visitors to various faculty/staff as necessary
- Field questions from students/visitors/staff
- Monitor visitor area ensuring all visitors follow proper procedures
- Receive money and keeps a daily log
- Responsible for mailing any outgoing mail. Opens and distributes incoming mail daily
- Evaluate student’s excuses for absence, tardy and dismissal. Record and file all excuses
- Monitor student arrival and departures in accordance with school policies
- Review student daily attendance reports to ensure all teachers have submitted reports
- Process new student enrollment verifying eligibility for admittance, including requesting transcripts and records from other schools, setting up cumulative folder, and entering student data into appropriate databases. Process withdrawals, and transfers of students
- Assist with Child Nutrition Program
- Track Employees Absence Reports while maintaining confidentiality
- Participate in Fire Drills, Lockdown Drills, Weather drills and campus staff development programs that improve job related skills
- Report maintenance and janitorial problems to the school maintenance staff and the janitorial staff
- Perform all other duties and assume all other responsibilities as assigned by the superintendent
- Work with various software applications, entering and retrieving data as needed
- Daily attendance at work and punctuality are essential functions of the job
- Keep informed of and comply with state, school, and school regulations
- Implement the vision and mission of the school
- Ability to use various office equipment and tools to include calculator, computer, printer, copier, fax, multiline telephone, and other equipment applicable to position
Qualifications:
- High school diploma or equivalent
- One (1) year experience as a secretary
- Experience in using various computers and software programs
- Desire to continue career improvement by enhancing skills and job performance
- Ability to pass a background check
- Good Attendance and Work Record
Physical Requirements/Environmental Conditions:
- Requires prolonged sitting or standing, and use of equipment including repetitive motions and computer eye fatigue
- Must be able to maintain emotional control while working in noisy and crowded environments, with numerous interruptions
- Must be able to handle multiple tasks at one time efficiently and courteously
