SECRETARY II - Building Secretary

Moses Lake High School
8 hours per day/210 workdays (plus holidays when eligible)
Shift Time: 6:30 am-3:00 pm approx.
Salary Range per PSE Contract
REPORTS TO: School Principal
POSITION OVERVIEW
This position performs a broad range of secretarial, clerical, and bookkeeping duties, exercising independent judgment within established methods, practices, and procedures. This role serves as the High School Building Secretary and Administrator of the Absence Management System/Staff Substitute Process.
ESSENTIAL JOB FUNCTIONS
- Absence Management & Scheduling
- Monitor the Absence Management System to track staff absences and ensure daily coverage.
- Schedule appointments and maintain calendars for assigned staff.
- Coordinate and prepare materials for major activities such as registration and graduation.
- Office Administration & Communication
- Format, type, edit, and proofread correspondence, memos, forms, reports, and meeting minutes from handwritten drafts, oral instructions, or dictation. (Documents may be confidential.)
- Organize and coordinate office operations, including personnel, budgeting, and facilities, making decisions within the scope of authority, often in the supervisor’s absence.
- Develop office procedures and policies; establish and maintain record-keeping systems.
- Maintain and update computer databases and spreadsheets.
- Establish and maintain a filing system for detailed records, including updating, transferring, and purging files.
- Reception & Customer Service
- Consistently deliver outstanding customer service to ensure a positive experience for all visitors, students, parents, and staff.
- Answer and route telephone calls; provide assistance and information to the public in person or by phone.
- Work cooperatively with the principal and staff to maintain a safe school and a supportive learning environment.
- Assist other secretaries by receiving and receipting monies and handling related tasks.
- Maintain and update inventories of supplies and equipment.
- Additional Responsibilities
- May supervise, guide, or train other clerical staff.
- May be required to work beyond regular hours for emergency issues or projects.
- If bilingual, may be asked to assist with interpretation.
- Perform other related duties as assigned.
QUALIFICATIONS
- Strong office communication skills, including the ability to interact professionally with staff, students, parents, and the public—even in high-interruption environments.
- Ability to work collaboratively with all staff in a positive, cooperative, and professional manner.
- Proficiency in office practices, procedures, and equipment.
- Understanding of general bookkeeping.
- Proficiency in operating standard office equipment.
- Strong skills in Microsoft Word, Excel, Skyward, Citrix, and other relevant computer applications.
- Ability to develop and maintain office procedures and recordkeeping systems.
- Ability to plan, organize, and coordinate office activities independently, often in the supervisor’s absence.
- Strong data entry and typing skills.
- High level of accuracy and attention to detail.
- Ability to understand and follow verbal and written instructions, policies, and procedures.
- Commitment to maintaining confidentiality and understanding of relevant laws and policies.
- Maintain excellent attendance and punctuality.
- Prior high school secretarial experience preferred.
- Bilingual preferred.
TESTING REQUIREMENTS
- First aid card may be required for specific positions.
- Ability to successfully complete the following assessments: Typing (upper Moderately Effective to Highly Effective range), math, grammar, basic excel, proofreading, writing sample (optional), 10-key test (optional), accounting (optional) tests.
- Current in-district employees with five (5) or more years of experience in the Moses Lake School District may have the typing test waived at the discretion of the principal/director.
