Summary
This position is primarily responsible for managing the office, assisting with the administration and communication of human resource procedures for all company personnel and operating a multi-line telephone system to answer incoming calls for several businesses, greeting guests, and general administrative duties.
Essential Duties and Responsibilities
- Maintains office equipment leases, phone equipment and other general office requirements.
- Responsible for scanning, uploading, and coding payables
- Maintains department records.
- Presents a warm smiling face to all guests, provides professional and caring environment while guests wait, answers phone, and directs inquiries to appropriate staff members.
- Distributes daily mail and incoming faxes in a timely manner.
- Collects payments and logs in a monthly Excel spreadsheet.
- Keeps conference room, copy room, and kitchen area clean.
- Keeps an inventory of office and kitchen supplies and refills supplies as needed.
- Plan, prepare, and organize a variety of snacks for employees in the morning.
- Unpacks deliveries in a timely manner.
- Runs postage daily for outgoing mail and delivers to the post office.
- Maintains calendars for conference rooms.
- Other projects as assigned.
Other Skills and Abilities
- Bachelor's degree in Business Administration or related field preferred
- Excellent judgment and discretion: ability to handle multiple priorities simultaneously, meet deadlines, and handle work-related stress is required.
- Friendly, courteous, service-oriented, professional, and outgoing.
- Remain calm and professional in stressful situations.
- Detail-oriented while maintaining an extremely professional attitude.
- Must be able to work independently and productively with minimum supervision.
- Recognize problems, identify possible causes and resolutions.
Job Type: Full-time
Pay: $30,000.00 - $35,000.00 per year
