Job Overview : The Staff Accountant will be responsible for maintaining financial records, pay vendors, processing and depositing member payments, reconciling general ledger accounts, and managing delinquent homeowner accounts. The Staff Accountant will collaborate closely with management to ensure accurate and timely financial reporting. The Staff Accountant must possess a solid understanding of accounting principles, proficiency in accounting software, and strong analytical skills. The Staff Accountant will additionally assist other staff members and homeowners as needed.

Staff Accountant Duties

  • Sort and process daily cash deposits for all departments
  • Process and deposit miscellaneous payments
  • Prepare end of day paperwork for review and closure on a daily basis
  • Process member account payments via checks and online payment options
  • Create reports for employee tips, meals, and fitness contractor classes for payroll biweekly
  • Process vendor invoices
  • Process monthly electricity, internet / phone, and water bills
  • Process weekly checks to vendors
  • Maintain clock and timecards for temporary contract employees
  • Process and close banquets on a regular basis
  • Create monthly Aged Receivables report
  • Prepare late letters for delinquent accounts to be signed by the Treasurer
  • Create monthly reports for Amenity Usage, Home Sales, and Golf Rounds
  • Reconcile monthly general ledgers
  • Observe monthly Clubhouse Beer, Liquor, and Wine inventory count
  • Assist with front desk duties, member phone calls, mailings, and projects as assigned by Director of Finance.

Position Specific Skills & Abilities :

  • Comfort and proficiency with accounting software, financial management tools, and other relevant technologies.
  • High ethical standards and the ability to maintain confidentiality in handling financial matters.
  • Flexibility to adapt to changes in routine to complete what is asked of management.
  • Strong customer service orientation when dealing with homeowners, vendors, and other stakeholders.
  • Efficient time management to handle multiple tasks and meet deadlines.
  • Understanding and ability to discuss internal controls associated with the HOA's operations.
  • Drive process improvements and automation initiatives within the accounting department to enhance accuracy, efficiency, and productivity.
  • Communication Skills :

  • Proficient verbal and written communication skills to convey financial information clearly and effectively.
  • Ability to build positive relationships with but not limited to other staff members, management, and homeowners.
  • Experience and Education :

  • Bachelor's degree in accounting, Finance, or a related field.
  • Experience (2 years) in accounting roles preferred but not required
  • Thorough knowledge of accounting principles and practices, financial reporting, and regulatory compliance.
  • Strong proficiency in accounting software (preferred experience with club software) and advanced Excel skills.
  • Strong analytical skills with the ability to interpret complex financial data and prepare concise reports.
  • Detail-oriented and capable of prioritizing tasks to meet deadlines in a fast-paced environment.
  • Ability to work independently and collaboratively within a team.
  • Experience in HOA management or property management industry is a plus.
  • Governance :

  • Implements operational procedures as established by the Covenants, By-laws, rules, and regulations as established by the membership and the Board of Directors.
  • Physical demands :

  • Regularly required to sit, use hands on keyboard, talk, and hear. S / he is occasionally required to stand, walk, bend, reach with hands and arms, climb or balance, stoop, or kneel. S / he may occasionally lift and / or move up to 20 pounds.
  • Close vision is required as much of the work is completed on a computer screen.
  • Work environment :

  • Works in a typical office environment. May have to manage a number of projects at one time and may be interrupted frequently to meet the needs and requests of fellow staff, management, or homeowners. Environment may be busy at times and will need excellent organizational and time and stress management skills to complete the required tasks.

  • Report unsafe conditions to mgmt. Fill out maintenance requests to rectify conditions.
  • Maintain and adhere to service standards.
  • Be informed about all policy, procedures, and communication as outlined in the employee handbook.

  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
