Statement of the Job:

The School Office Assistant position entails responsible and comprehensive work in providing exceptional customer service to potential and current school families.  This person also assists and informs potential and returning families about tuition scholarships and maintaining accurate National School Lunch Program (NSLP) applications, as well as various tasks as assigned. Must be bilingual. This position is supervised by the Principal.

Duties of the Job:

  • School Office customer service to school families including educating on financial aid assistance opportunities, and responding to a variety of questions and requests
  • POS for the Breakfast and Lunch program
  • Posts monthly menus via School Speak
  • Cash Receipts
  • Incoming/Returning Student Registration
  • Verify and process STO scholarship eligibility requests.
  • Promotes STO’s to school and potential families
  • Works closely with the Administrative Assistant and Principal

 

Additional Job Responsibilities

  • Perform clerical duties as needed or assigned by the Principal.
  • Perform any job-related tasks necessary for the smooth flow of operations within the school.
  • Contribute to the team effort for a professional office environment and maintains good working relationships with all school staff.
  • Have knowledge of technology and use appropriate software as needed.
  • Perform related duties as assigned for emergency procedures.
  • Perform other related duties as assigned.

 

Position requires knowledge of:

  • Knowledge of the Arizona private school tax credit programs (preferred)
  • Excellent computer skills including Microsoft Products, such as Excel, Word, and other databases
  • Excellent communication and customer service skills
  • Ability to work with frequent interruptions and minimal supervision
  • Accuracy and attention to details
  • Bilingual in Spanish
  • Operation of a computer and assigned software.
  • Modern office practices, procedures, and equipment.
  • Basic statistical and record-keeping techniques.
  • Data entry and report generation.
  • Correct English usage, grammar, spelling, punctuation, and vocabulary.
  • Aware of Diocesan and school policies and procedures.
  • Knowledge of Catholic Church vision, teachings, structure, and policies.

 

Position requires the ability to:

  • Plan and organize work.
  • Work independently with little direction.
  • Analyze situations accurately and adopt an effective course of action.
  • Maintain records and prepare reports.
  • Communicate effectively both orally and in writing.
  • Meet schedules and timelines.
  • Project a cooperative, courteous, and helpful attitude toward students, staff, and the general public.
  • Establish and maintain cooperative and effective working relationships with those contacted during the performance of required duties, including school personnel, students, parents, and the community.
  • Maintain regular attendance.

 

Experience and Education:

 

Completion of the 12th grade or equivalent with five years of responsible secretarial/clerical experience, preferably in a school setting; public contact; experience with computers and computer software is required.  Marketing background preferred; Spanish speaker required.

 

Environment:

  • Office environment.
  • Constant interruptions.
  • On and off-campus events.

 

Physical Abilities:

  • Hearing and speaking to exchange information in person and on the telephone.
  • Seeing to conduct inspections, read, prepare and proofread documents;
  • Sitting or standing for extended periods of time;
  • Dexterity of hands and fingers to operate a computer keyboard and other equipment;

Kneeling, bending at the waist and reaching overhead, above the shoulders, and horizontally to retrieve and store supplies

  • Lifting heavy objects up to 50 pounds.
