JOB SUMMARY
Accommodate hotel guests by registering and assigning rooms to guests, issuing room keys, transmitting and receiving messages, keeping records of occupied rooms and guests’ accounts, making and confirming reservations, and presenting statements to and collecting payments from departing guests. Maintain and ensure accurate record of cash drawer, accounting program.
REPORTING RELATIONSHIPS
The Desk Associate reports directly to the General Manager.
DUTIES & ESSENTIAL JOB FUNCTIONS
Greets, registers, and assigns rooms to guests of the hotel.
Keeps records of room availability and guests’ accounts, manually or using the PMS computer (PMS = property management system).
Computes bill, collects payments and makes change for guests using cash and credit cards.
Makes and confirms reservations.
Posts charges, such as room, telephone or faxes to guest ledger manually or using the computer.
Transmits and receives messages using telephone and telephone switchboard.
Issues room keys to guests.
Date-stamps, sorts, and racks incoming mail and messages.
Answers inquiries related to hotel rates, physical layout and services; registration of guests; and shopping, dining, entertainment and travel directions.
Deposits guests’ valuables in safe-deposit boxes.
Complete daily shift reports.
Understand, participate in, and execute emergency procedures as necessary. 2 Ensure work area and lobby cleanliness is maintained.
Actively look for ways to assist guests.

QUALIFICATIONS
Knowledge of principles for providing guest services.
Knowledge of basic math including addition, subtraction, multiplication and division.
Ability to handle frequently changing priorities.
Ability to read, write and communicate verbally in English.
Knowledge of basic clerical and administrative procedures and systems such as word processing, managing records and filing.
