About the Role:
This hybrid Recruiting Coordinator & Workplace Associate role blends recruiting coordination with workplace support, ensuring a seamless experience for candidates, employees, and visitors alike. As a Recruiting Coordinator, you’ll be responsible for scheduling interviews, managing candidate communications, and supporting recruiters in delivering a smooth and efficient hiring process. Meanwhile, as a Workplace Associate, you’ll help maintain an engaging and productive office environment by overseeing day-to-day operations, office logistics, and vendor management.
What You’ll Do:
- Coordinate and schedule phone, video, and on-site interviews in a fast-paced, high-volume environment.
- Serve as a key point of contact for office operations/facility maintenance, including supply management, vendor coordination, and general administrative support.
- Execute occasional office moves, adds, & changes. Workstation space planning and upkeep.
- Help host and set up In-house and Virtual events (All-Hands, Happy Hours, Team Building Events etc.)
- Manage the end-to-end candidate experience by working closely with recruiters, interviewers, and hiring managers.
- Maintain accurate and up-to-date candidate tracking in applicant tracking systems (ATS), Google Sheets, and other relevant tools.
- Support various recruiting-related administrative tasks, including offer coordination, onboarding assistance, and data management.
What We’re Looking For:
- 1 years of experience in recruiting coordination, office management, or a related administrative role.
- Must be based in/near Austin, TX, as this will be an in office role requiring 5 days in office.
- Experience with Greenhouse or ModernLoop is preferred but not required.
- A proactive and detail-oriented problem solver who thrives in a fast-paced environment.
- Strong interpersonal and communication skills, with the ability to build trust with internal stakeholders and candidates.
- Excellent project management abilities, with a strong focus on organization, flexibility, and adaptability.
