Job Overview:
A Document Scanning Specialist is responsible for converting physical documents into digital formats, ensuring that the digital copies are accurate, high-quality, and easily retrievable. This role is crucial for organizations aiming to maintain efficient document management systems, improve accessibility to information, and support paperless initiatives.
Key Responsibilities:
- Preparation of Documents: Sort, organize and ensure documents are ready for scanning including removing staples, paper clips, and bindings.
- Scanning Documents: Operate scanning equipment; monitor scanning to ensure accuracy and adjust scanner settings for optimal quality.
- Quality Control: Review scanned images for clarity and completeness; ensure legibility and completeness of all pages and rescan documents if necessary.
- Indexing and Filing: Organize and save digital files correctly and maintain a systematic filing system that is consistent with the company requirements; organize and maintain physical documents.
- Maintenance of Equipment: Perform routine maintenance on scanners to make sure scanning equipment is clean and operational; troubleshoot technical issues.
- Data Security and Confidentiality: Handle sensitive information with care and comply with data protection regulations; store scanned documents securely.
- Documentation and Reporting: Keep records of scanned documents and report issues or discrepancies.
- Communication: Provide status updates on scanning projects and communicate with supervisors.
- Team Collaboration: Work closely with other administrative staff and department personnel to ensure consistent and accurate document scanning.
- Performance Goals: Meet personal/team targets and scanning quotas.
- Continuous Improvement: Stay updated with scanning technologies and make recommendations or assist with implementing process improvements; participate in training and development.
Qualifications:
- Education: High school diploma or equivalent; further education in customer service or related field is a plus.
- Communication: Excellent communication skills, both verbal and written.
- Time Management: Good organizational and time-management skills.
- Problem-Solving: Quick thinking and effective problem-solving abilities.
- Technical Proficiency: Proficiency with scanning equipment and related software including Google Workspace and Office 365.
- Product Knowledge: Must be able to learn and maintain a good understanding of the products or services offered.

- Confidentiality: Ability to handle confidential information discreetly.
