Job Description:
Willits-Hallowell Center and Event Services is seeking a creative and motivated Event Manager to oversee the coordination and execution of a broad range of events. The Event Manager will provide exceptional customer service to internal and external clients hosting meetings, conferences and special events at Mount Holyoke College. This position communicates policies, procedures, menus, pricing, and contract specifications to clients for all events and conferences, relaying event information to appropriate departmental personnel. This position works as a member of the Events Services team to provide superior hospitality through communication and follow-up with staff, clients, and guests to achieve financial, operational, and business goals. On-site event management is a core function of this position. Strong teamwork and communication skills, and experience in event logistics are essential.

Job Description:

Essential Responsibilities:
- Promotes a "one-stop-shop" event management philosophy coordinating logistical support for a broad range of internal and external clients using college facilities for events including: meetings, conferences, summer camps, special events and large-scale annual events.
- Coordinates all logistical services for assigned events including equipment rental and set-up, audio/visual, catering, décor, linens and on-site event management.
- Serves as a point contact for specific clients initiating correspondence/meetings to ensure planning for upcoming events is organized, well-communicated and executed effectively.
- Provides on-site event management to facilitate operations, resolves issues as they arise and ensures all aspects of the event are carried out to the client's satisfaction.
- Manages cross-functional teams and coordinates logistical support for internal and external clients for a broad range of events.
- Manages contracts, deposits, and insurance requirements for meetings/ conferences in a timely & accurate manner.
- Prepares and distributes appropriate documentation, service orders, including banquet event orders, contracts, floor plans and invoices.
- Minimum 2 years of experience in event planning/ food and beverage sales and/or operations in a hospitality environment.
- Bachelor's degree and/or 5 years of relevant experience.
- Exceptional organizational, communication, and interpersonal skills
- Ability to multitask, meet deadlines, and remain calm under pressure
- Excellent customer service and resourcefulness skills
- Ability to work nights and weekends as required- weekly schedule will be based on event needs
- Bachelor’s Degree, preferably in Marketing, Hospitality Management or Business Administration
- Experience in room scheduling software (EMS, 25Live, etc.)
- Experience with sales/catering software (Delphi, Skyware, etc.)
- Servsafe, Allergen and CPR certifications
