Job Summary and Responsibilities/Duties

Job Summary

Assists with the delivery and proctoring of accommodated and standard exams and provides front-line general office services to prospective and current students. Enters data, manages records, schedules exams, provides approved test accommodations, administers tests, and provides general customer service.


Essential Duties

  • Completes administrative work associated with testing including, but not limited to, filing, printing rosters, and scheduling appointments.
  • Inspects and ensures examination rooms meet specifications; sets-up and configures computers for computerized test administration including troubleshooting basic technical problems with test delivery systems or computer stations in the testing room. Complies with all testing procedures, practices and rules.
  • Proctors exams. Checks-in students and ensures test security by verifying students' identification (picture ID) prior to administering test. Provides clear instructions and guidelines to students. Maintains a quiet and distraction-free testing environment. Monitors student attendance during testing sessions. Addresses any issues or disruptions that occur during the test, and documents and reports any incidents. Provides instructions for next steps to students, when appropriate.
  • Provides approved accommodations for students who need additional resources for testing in conjunction with Accessible Education Services.
  • Maintains annual certification according to college and test vendors' specifications.
  • Collects, evaluates, and enters student and test data into institutional testing databases, verifying accuracy of data. Maintains familiarity with college student records system.
  • Delivers excellent customer service, both in person, through email and over the phone, by providing guidance, information and assistance. Helps resolve problems and directs students to appropriate services.
  • Provides in-class or computer lab technical support to students, including basic skills related to college email, Portal, Blackboard, and language learning applications.
  • Provides administrative support for the department. Examples of duties include: responding to in person, telephone and online inquiries, maintaining office supplies, creating forms, scheduling student testing appointments.

Minimum and Desired Qualifications

Minimum Qualifications

  • High school graduate or GED
  • One (1) year of experience specific to office or program support similar to the essential duties of this position: computer system or application skills, test proctoring, problem solving skills, adherence to policies and procedures, customer service
  • Must obtain required testing certifications within two (2) months of hire
  • Current driver’s license, insurance, and access to reliable automobile during work hours for transportation to off-campus sites. Must have at least three (3) years of driving history
  • Basic skills with Microsoft office and excel or similar programs
  • Must be available to work varied schedules, including evenings and Fridays, at both Gresham Campus and Maywood Park Center to meet student and institutional needs.

Equivalent combinations of education and experience may be considered on a year for year basis

  • Career Pathways Certificate or higher
  • Bilingual skills with fluency in English and Spanish, Russian, Vietnamese or other language that meets community needs
  • Familiarity with computer-based testing systems

Knowledge of:

  • Policies and procedures related to admissions, registration, testing, and placement
  • Applicable local, state, and federal laws and regulations
  • Available college and community resources and/or programs
  • Intermediate computer operations - keyboarding, word processing and Excel

Skills in:

  • Researching and locating information on college website or information at community-based organizations
  • Problem solving computer technical issues
  • Providing excellent customer service

Ability to:

  • Give written and oral instructions
  • Demonstrate cultural sensitivity and diplomacy, and communicate with learners of various ethnic and cultural backgrounds
  • Exercise sound judgment and discretion in handling confidential information
  • Independently solve problems and apply critical thinking skills
  • Remain calm in difficult situations, diffuse an emotional or tense situation and offer viable solutions
  • Be comfortable learning how to use testing software
  • Become certified to administer tests according to college and vendors' requirements; this includes: studying proctor manuals, attending webinars, and passing test sponsor/vendor certification exams if needed; submitting credentials, etc. to test sponsors/vendors Work collaboratively in a fast-changing environment;
  • Comply with and enforce test sponsor rules

Working Conditions

This

is an on-site position. Work is typically performed in a normal office environment while sitting at a computer terminal and walking around a computer lab setting. Visual eye strain and repetitive hand/wrist motion for data entry and keyboarding functions.
