Inventory Assistant
Summary: The Inventory Assistant is responsible for most of the practice purchases including inventory control counts, reorder points, and expiration dates. Works closely with leads, supervisors and hospital directors to save on overhead costs. Must have organizational skills and be able to prioritize projects and execute them effectively and efficiently. Must be mathematically inclined and detail oriented. Must have basic computer skills and experience with practice management inventory software and Microsoft Excel. Must have excellent verbal and written communication skills. Must be able to educate staff on product lines and delegate inventory control. Works closely with various departments to ensure the practice is always fully stocked with inventory and ready to serve our clients.
Responsibilities:
· Maintaining and supporting a positive client experience
· Work well with all team members and ensure that actions support the hospital, the doctors, and the practice philosophy.
· Manage the ordering and proper inventory levels of all products in the hospital.
o Communicate and work cooperatively with staff members to ensure adequate inventory is always on hand.
· Supervise the receipt of supplies that have been ordered.
o Check orders against purchase orders and packing slips to ensure that shipments are accurate upon arrival.
o Note expiration dates, write on packing slips.
o Check for breakage or other problems that would render merchandise unusable
o Report issues to suppliers
· Enter merchandise items and new products into practice’s computerized inventory system.
· Ensure pricing in computer inventory is accurate and change pricing as necessary
· Research new products and equipment as needed.
o Discuss new products with doctors
· Monitor wish list from the departments and order as needed.
· Organize, receive, and compile inventory data.
· Obtain MSDS sheets on new products. Ensure that the hospital has a copy in their MSDS notebooks
· Monitor automatic ordering levels and products.
· Ensure that medical supplies are always available.
· Assess and understand critical items to the practice. Ensure adequate stock on hand.
· Know when to take advantage of cost-effective, special-purchase promotions and discounts
· Manage and ensure timely replacement of backordered products.
· Monitor weekly count of controlled drugs
· Oversee and orchestrate quarterly and year-end inventory counts.
· Regularly check for outdated supplies and remove them from active inventory. Arrange for product return and account credit.
· Coordinate accurate inventory levels for retail, food, drug, and controlled substances in the hospitals.
· Build friendly, professional relationships with vendor and sales representatives.
o Keep order book and computer database updated with current vendor contact information.
· Discuss new products with vendors and sales representatives. Relay information to veterinarians and the practice manager.
· Periodically check pricing across different vendors.
o Negotiate purchases regarding price, discount, quality, quantity, delivery dates, etc.
