Job Title: Office Coordinator - Blue Peak Center
Mount St. Mary's University
The Office Coordinator is responsible for providing comprehensive support to the Blue Peak Center in day-to-day operations under the direct supervision of the Clinical Director. This includes managing daily functions, event planning, budgeting, correspondence, and problem-solving.
General Center and Staff Support
- Serves as the center's first point of contact and liaison for staff, student workers, and clientele.
- Assists in composing routine correspondence, prepares and/or updates center forms, fliers, brochures, formats documents and envelopes, and prints letters to families, insurers, etc.
- Orders and maintains inventory of office supplies, staff gear, client materials, and assessment booklets.
- Coordinates with other Mount departments, such as marketing and finance, to support the growth of the Blue Peak Center.
- Connects with possible referrers in the community and coordinates events with the Clinical Director to increase the center's presence in the community.
- Assists in scheduling staff sessions with clients and identifying coverage when substitutes are needed; supports scheduling client intake sessions, tours, and community partner tours when needed.
- Coordinates training and onboarding schedules for new hires in collaboration with the Clinical Director.
- Coordinates logistics associated with hiring and interviewing candidates.
- Oversees credentialing requirements for staff and provides notices to staff when credentials are set to expire.
- Requisitions work orders for repairs performed by ITSC, Campus Environment, and the DOC Power Plant team.
- Resolves routine questions and problems for staff members and student workers.
- Maintains bulletin boards, prepares monthly calendars and newsletters for staff and families, and posts them in public-facing spaces.
- Exercises judgment and independent initiative, handles time-sensitive matters that require concise problem-solving and confidentiality.
- Maintains files, office supplies, and office machines.
- Assists other departments where applicable, including covering areas or duties not initially assigned.
Recordkeeping
- Maintains internal waitlists for prospective clients and staff, completes initial questionnaires with families seeking services at the center.
- Initiates and maintains documentation for staff and student workers, including credentialing statuses, certification statuses, screening phone calls, exit interviews, etc.
- Provides and maintains start-up paperwork for families seeking services with the center, such as emergency contact forms.
- Collects documentation as requested, in collaboration with the Clinical Director, in the event of an audit to provide to insurers or other inquiring parties.
- Runs monthly billing reports in Tebra to share with Mount stakeholders.
Job Requirements: Education, Experience, and Skills
- Familiarity with Microsoft Office software (Outlook, Word, Excel, PowerPoint, SharePoint, Teams).
- Three or more years of related experience as an Administrative Assistant preferred.
- Experience in a healthcare and/or patient care environment is strongly preferred.
- Excellent oral and written communication skills.
- Ability to manage multiple tasks or assignments simultaneously with numerous interruptions.
- Must be organized, dependable, and able to manage time efficiently, and display initiative.
- Ability to work independently with minimal or no supervision and handle emergency situations in a professional efficient manner.
- Expertise in dealing with a wide variety of personalities; maintain an upbeat and positive attitude.
- Ability to interact well with students, faculty, and all employees throughout campus.
- Able to maintain confidentiality.
Work Schedule
- Full Time - 40 hours per week
- Monday - Friday, 7:30 AM - 4:00 PM with a 30-minute lunch break.
- Paid holidays following the Blue Peak Center's adjusted schedule.
Hourly Pay Rate
$19.00/hourSalary/Benefits
