Mount Zion Temple, a Reform Jewish synagogue located in St. Paul, Minnesota, is seeking an experienced Event Coordinator to join our team. This is a full-time salaried position with a salary range of $47,000 to $60,000. Benefits include generous paid time off (PTO), sick leave, paid holidays, dental and health insurance fully covered for the employee by Mount Zion, HSA, and access to a retirement plan with a 6% contribution from Mount Zion. Job Description:
The ideal candidate will be well-organized, detail-oriented, and eager to learn, possessing excellent interpersonal skills. The Event Coordinator will provide administrative support to our Executive Director and Director of Congregation Engagement for congregational events, volunteer management, and member liaison activities. In this role, you will work closely with clergy, staff, and congregational leaders to execute events. Additionally, this position is critical for managing kitchen operations and rental programs. The Event Coordinator will also serve as a liaison for life cycle events and B’nei Mitzvah families.
Candidates should have a flexible schedule and maintain regular office hours. This is an externally facing role, so greeting members and guests is a key part of the job. Staff work remotely on Mondays; expected office presence is Tuesday through Friday, depending on the event schedule for the week. The role involves responsibilities during weeknights and weekends. This position reports to the Executive Director.
Primary Duties Include:
- Overseeing Mount Zion's calendar and serving as the primary point of contact for staff, lay leaders, and external rentals to confirm and execute event visions.
- Acting as a liaison to the kitchen supervisor and facilities team, managing food and supply needs.
- Managing the external rentals program, creating rental agreements and billing, and communicating needs related to rentals.
- Working with congregants and families on B’nei Mitzvah and life cycle programming, including family] meetings and coordinating events.
- Facilitating volunteer programs through sign-ups, sharing information, developing new volunteer opportunities, and offering gratitude to volunteers.
- Onboarding new members as well as assisting with the resignation process.
- Support member and engagement programming.
- Supporting the Communications and Technology Coordinator with form management, emails, bulletins, and collaborating on the Annual Report.
- Manage flyers and signage in the building.
- Produce and send acknowledgement letters.
- Performing other duties as assigned.
Required Skills and Experience:
- Excellent interpersonal skills with a warm and welcoming presence, and a strong sense of customer service.
- Bachelor's degree and 3-5 years of experience in office administration is a plus.
- Experience in a Jewish and non-profit setting preferred.
- Strong organizational and time management skills, with an ability to prioritize and solve problems effectively in changing circumstances.
- Proactive, flexible, and resilient attitude.
- Effective oral and written communication skills, with a keen eye for proofreading.
- Excellent calendar management skills and the ability to coordinate multiple schedules.
- Proficiency in technology, including Microsoft Office 365, Zoom, Monday.com, and Salesforce is a plus.
- Ability to work both collaboratively and independently to achieve goals.
- Ability to handle confidential information discreetly and respectfully.
- Flexibility to work events outside of regular office hours as needed.
