Mountain Crane is looking for a highly organized Executive Assistant to support both the CEO and the CFO in their day-to-day operations. The ideal candidate will have strong organizational skills, discretion, and the ability to handle multiple high priority tasks in a fast-paced environment.
Core Duties
- Maintain and manage calendars for both executives, prioritizing meetings and engagements while minimizing conflicts.
- Ensure executives are prepared for all meetings with agendas, relevant materials, and key updates.
- Track meeting follow-ups, deadlines, and action items to ensure progress on key initiatives.
- Coordinate internal leadership meetings and external business engagements.
- Draft, edit, and proofread emails, reports, and presentations as needed.
- Manage incoming communications, prioritizing and responding as needed.
- Plan and manage all executive travel arrangements, including flights, accommodations, and transportation.
- Create detailed travel itineraries to ensure seamless logistics.
- Assist in planning and coordinating company events, executive offsites, and business functions.
- Track and manage business expenses, ensuring accurate reconciliations and reporting.
- Process credit card statements, invoices, and reimbursements.
- Oversee confidential files, records, and key business documents.
- Run occasional business and personal errands.
- Coordinate external service providers as needed.
- Work closely with all departments to support company-wide initiatives and executive priorities.
- Coordinate with vendors and service providers for both business and personal administrative needs.
- Handle ad hoc tasks that contribute to executive and company efficiency.
- Perform all other duties as assigned.
Qualifications
- Bachelor's degree, preferably in business, communications, or a related filed.
- Minimum of 3 years' experience in an executive assistant or administrative support role.
- Proficiency in Microsoft Office Suite, Google Suite, and collaboration tools like Teams.
- Experience with calendar management, travel coordination, and expense tracking.
- Excellent written and verbal communication skills with the ability to interact professionally at all levels.
- Proven ability to handle sensitive information with professionalism and discretion.
