Job Title: Hospitality Coordinator
Location: Mountain Falls Luxury Motorcoach Resort, Lake Toxaway, NC
Reports to: Club Director & Hospitality Director

Job Overview:

Mountain Falls Luxury Motorcoach Resort is seeking an enthusiastic and organized Hospitality Coordinator to support the planning, coordination, and execution of resort events and guest activities. This role will work closely with the Hospitality Director to ensure guests are informed about upcoming events and activities. The ideal candidate is a dynamic individual with a passion for hospitality, guest engagement, and event execution. The Hospitality Coordinator will collaborate with the Club Director to enhance the guest experience and uphold the resort’s commitment to exceptional service.

Key Responsibilities:

Event Coordination & Planning:

  • Assist the Club Director in planning, organizing, and executing on-site events, including seasonal celebrations, sponsored marketing events, and resort-wide activities.
  • Coordinate with vendors, performers, and service providers to ensure seamless event logistics.
  • Maintain event timelines and checklists, ensuring all departments are informed and prepared.

Guest Activities Management:

  • Plan and oversee daily guest activities, including outdoor adventures, wellness programs, family-friendly events, and recreational offerings.
  • Ensure a diverse range of activities that appeal to all guests, including families, couples, and groups.
  • Monitor guest participation and feedback to refine and improve the activities schedule.

Team Leadership & Coordination:

  • Supervise the activities team, ensuring staff are well-trained, motivated, and prepared to deliver exceptional guest experiences.
  • Assist in recruiting, scheduling, and managing event and activities staff.
  • Foster a positive and energetic work environment, setting high standards for guest service.

Budget & Resource Management:

  • Assist in managing the budget for activities and events, ensuring cost-effective planning and execution.
  • Monitor inventory of materials and resources, ensuring timely replenishment.
  • Track expenses to maintain alignment with financial goals.

Guest Experience & Engagement:

  • Ensure all events and activities align with the resort’s guest experience goals, creating memorable and unique experiences.
  • Anticipate guest needs and tailor activities based on group preferences, special requests, or feedback.
  • Address guest concerns related to events and activities, providing prompt and professional resolutions.

Marketing & Promotion:

  • Work with the Club Director, Hospitality Director, and Marketing Team to promote events and activities across various communication channels, including the Owners Facebook group.
  • Distribute marketing materials to guests and owners during their stay.
  • Ensure all promotional content reflects the Mountain Falls brand and values.

Reporting & Evaluation:

  • Collect and analyze guest feedback, participation data, and financial reports to assess the success of events and activities.
  • Provide regular updates to the Club Director on event performance and team progress.
  • Maintain an inventory of event décor and provisions, ensuring readiness for future events.

Qualifications:

Education & Experience:

  • Bachelor’s degree in hospitality, event management, business, or a related field preferred.
  • Minimum of three years of experience in event planning, guest services, or resort activities management, preferably in a hospitality setting.
  • Proven ability to manage teams and coordinate multiple events or activities simultaneously.

Skills & Abilities:

  • Exceptional organizational and project management skills, with the ability to multitask in a fast-paced environment.
  • Strong written and verbal communication skills, with the ability to interact effectively with guests, vendors, and internal teams.
  • Creativity in event design, problem-solving, and guest engagement.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with event management software.

  • Highly motivated and adaptable, capable of working both independently and as part of a team.
  • Strong attention to detail and commitment to excellence in event execution.

Work Environment:

  • This position is based at Mountain Falls Luxury Motorcoach Resort in an outdoor, resort-style setting.
  • Flexibility in working hours, including evenings, weekends, and holidays, especially during peak seasons.
  • Ability to work in both indoor and outdoor environments and varying weather conditions.

Compensation & Benefits:

· Salary range: $42,000 to $46,000 base potential for incentives (depending upon experience); increase available after initial onboarding and evaluation period

· 401(K) match up to 4%

· 3 weeks PTO accrual/year, Paid Sick Leave, and Paid Bereavement
