What are the responsibilities and job description for the Administrative Assistant position at Mountain High Organics, Inc.?
We are looking for a qualified person who can coordinate complex administrative tasks associated with processing sales orders. This individual will have to provide accurate and timely entry of customers' orders enabling efficient order processing from receipt of Purchase Orders to final shipping from our warehouse. Candidate must have a customer service background. This person is the customer contact for confirming orders, coordinating returns and mis-ships, troubleshooting and resolving problems punctually.
Responsibilities:
Receive and review incoming orders and prepare them for accurate entry into our system, verify pricing, working with sales account manager to resolve inaccuracies prior to entering order.
Enter orders accurately and on time to meet order lead time and requested pickup dates.
Review potential out of stocks notifying customers of known shortages.
Provide freight quotes when requested by customers.
Prepare custom documents
Process returns punctually, working with sales department for authorization and coordinating with operations to arrange freight and receipt of goods
Work with sales team to problem solve, assuring accurate data entry information for all orders.
Professional Skills:
Strong computer skills with intermediate knowledge of Microsoft Word, Excel, and Outlook system.
Able to type a minimum of 50 wpm accurately.
Must possess strong interpersonal skills, able to communicate effectively with all levels of employees and management, must remain poised, professional and diplomatic under pressure.
Must have the ability to be detail oriented and balance multiple projects simultaneously in a fast paced environment.
Have a demonstrated ability to plan and organize work activities; manage work time efficiently; follow procedures and policies; identify and solve problems; maintain a file system to include alphabetical, numerical and chronological paper filing.
Ability to add, subtract, multiply and divide in all units of measure , using whole numbers, common fractions and decimals.
Must have GREAT customer service skills.
Must be able to proofread and make appropriate spelling and grammar corrections to documents written in English.
Must provide enthusiasm and creativity in problem solving, along with flexibility and a desire to learn
Must be able to handle confidential information with integrity and discretion.
Full time: 9- 5, Monday - Friday.
