The HR/Safety Coordinator supports human resources and safety programs within the Association. This role involves the development, promotion, and oversight of the Association’s recognition, wellness, and employee engagement programs as well as assisting with clerical tasks related to HR and safety.
Essential Duties and Responsibilities:
- Coordinate MVEA’s Employee Engagement Committee. Assist committee with generating new ideas and activities for employees, obtain necessary approvals, provide support during events and evaluate outcomes to identify areas for improvement.
- Plan and host informative lunch and learns to share information about health & wellness, benefits, etc. by leveraging content from our current insurance carriers/providers.
- Develop and promote a cost-effective employee recognition program, including new and creative ways to recognize employees.
- Coordinate MVEA’s wellness program. Guide the wellness committee, plan employee wellness activities and events, and coordinate vendor relationships to offer employee discounts. Look for opportunities to incorporate and promote existing programs such as NRECA Future Me and EAP.
- Assist with scheduling, planning, and preparing employee events and functions including coordinating registrations and rsvp’s, materials/handouts/giveaways, meals, conference room scheduling/venue, setup, and IT requests.
- Prepare annual "Years of Service" certificates for presentation at employee meetings. Purchase gift cards. Distribute monthly birthday and anniversary cards.
- Assist with the administration of the Safety Recognition program, the Power Points Program.
- Develop and assist with timely and appropriately themed creative internal messaging including but not limited to upcoming training and employee events. Type, design, and proofread employee communications, including memos and other correspondence, ensuring accuracy in spelling, grammar, and layout.
- Update HR and safety forms to ensure they are accurate, user-friendly, and writable. Assist with updating manuals and other documents as needed. Ensure forms, job descriptions, benefit documents and manuals are available and posted in a timely and consistent manner on SharePoint and on shared drives.
- Assist the Safety Administrator with scheduling and coordinating Safety Team meetings, employee Safety meetings, regulatory compliance and other training as needed. Coordinate calendar invites and management, electronic signups, electronic attendance tracking, develop a method to organize and standardize training records/documentation, and follow up with leadership on attendance concerns.
- Respond to inquiries and direct them to the appropriate individual via phone, in-person, or email, ensuring excellent service and accurate information in all interactions.
- Keep safety data sheets up to date and assist with maintaining records for the testing of PPE and tools.
- Perform confidential clerical tasks including data entry, filing, scheduling, calendar management, answering phones, and record keeping.
- Regularly maintain and update MVEA’s organization chart and phone extension list.
- Two-year associate’s degree in human resources, business administration or similar field is preferred.
- A minimum of three years of progressively responsible administrative experience is required. Experience designing, implementing, and maintaining recognition programs is desired.
- Ability to come up with innovative ideas for employee events, wellness programs, and recognition initiatives that keep employees engaged.
- Proven ability to effectively communicate and present to groups, promoting activities, motivating employee participation, and driving overall employee engagement.
- Ability to engage with employees and leadership to gather feedback. Possess a team-player mindset with a strong focus on building positive employee relations.
- Self-motivated, well organized, personable, and able to exercise discretion, and use sound judgment in dealing with people and confidential information.
- Ability to assist in ensuring compliance with safety guidelines and documentation requirements.
- Ability to multi-task and prioritize responsibilities such as scheduling events, trainings, maintaining safety records, preparing reports, etc.
- Strong attention to detail and time management skills.
- Experience and knowledge of Microsoft Office is required. Ability to learn and use the safety management software.
