Administrative Assistant II/III – Police FLSA: Non-Exempt Administrative Assistant II: Min $27.91, Mid $32.80, Max $37.68; Hiring Range: $27.91-$32.80/hourAdministrative Assistant III: Min $30.06, Mid $36.07, Max $42.09; Hiring Range $30.06-$36.07/hour**The Town of Mountain Village is seeking an Administrative Assistant for our Police Department who will also serve as a Court Clerk to the Municipal Court. Applicant placement into Administrative Assistant Level II or Administrative Assistant Level III will be based on certifications possessed as well as relevant years of experience. Qualifications for Level II and Level III are noted in the job posting. ** Deadline to apply is Sunday, 2/2/25. Applications will be reviewed starting 2/3/25.** NATURE OF WORK: Under general/light supervision, provides complex and non-routine level administrative duties, providing high level support and customer service for the Town of Mountain Village’s Police Department. Additional police administrative duties as Certified Records Technician, Sex offender registration coordinator and as Evidence Custodian assuring compliance of activities with state and Federal laws and Town policies and procedures. Will also serve as Court Clerk to the Municipal Court.

EXAMPLE OF DUTIES
DUTIES AND RESPONSIBILITIES: Manages and maintains all records for the Police Department; monitors and ensures the accuracy, completeness, and security of Police records data; enters and retrieves confidential law enforcement data from the National Crime Information Center (NCIC) and Colorado Crime Information Center (CCIC) computer systems; updates Uniform Crime Reporting Program database; performs queries of information on computerized criminal justice information systems for background checks, rap sheets, etc.; releases criminal justice records and prepares copies of records for the District Attorney, County Courts, and the Department of Revenue.Performs the duties of Evidence Custodian including entering, storing, and/or destroying evidence ensuring chain of evidence and other requirements are met. Provides courteous, prompt, and knowledgeable customer service to clients of the court; issues, records, and processes warrants; researches computer data for warrants, prior violations, and other pertinent data; prepares and reviews a variety of court documents including notices of trial dates, violations of court orders, delinquencies in payments, refunds, bond conversion or refunds, driver’s license suspensions/revocations, judgments, and dispositions; responds to customer inquiries and complaints, both in person and on the telephone in accordance with court procedures; assists the public at the front counter including providing forms and processing payments received for municipal summons and parking tickets.Performs a variety of accurate data entry of court dispositions, payments, traffic citations, criminal citations and other court-related information utilizing court-specific computer software in order to ensure that information is readily available and reliable; enters and prepares court dockets, forms, and legal documentation for the Municipal Court; issues bench warrants and subpoenas; coordinates with attorneys regarding cases as required.Prepares and sends out correspondence to individuals regarding unpaid parking tickets.Collects, posts, and balances fines, fees, and bonds and accurately reconciles daily cash transactions using court-specific computer software ensuring proper collection methods are followed; mails traffic violations to and communicates with the Department of Revenue regarding traffic issues; collects and records fees and/or other payments received; delivers funds weekly to Accounts Receivable.Supervises the activities of individuals receiving Deferrals and/or Useful Public Service.Provides administrative support in coordinating purchases of general office supplies and departmental equipment, coordinating the cleaning and maintenance of office equipment and facilities; performs a variety of accounts payable and receivable functions; assists with budget preparation; provides administrative support to the Police Chief, Deputy Chief, Police Officers, and Community Service Officers communicates with staff and relays information via two-way radio.Provides assistance to walk-in customers requiring fingerprints, dog licenses, information, or directions. Actively works to progress the Town’s goal of zero waste and carbon neutrality by minimizing unnecessary consumption (of energy, water, paper, plastic, ink, etc.), seeking environmentally preferred products (e.g., reusable, recycled content, non-fossil fuel), and supporting environmental initiatives through participation, promotion, and accurate storytelling.Act as a liaison, when necessary, between Mountain Village and its residents and guests, subcontractors, vendors, and merchants giving direction and assistance as needed. Promote and observe safe work methods and use safety equipment; secure work sites as necessary; may attend safety committee meetings, actively participate in and may conduct trainings. As part of the Safety Committee obtain and maintain American Disabilities Act (ADA) Certification. Develop ways to improve quality, efficiency, and effectiveness in our department and throughout the entire organization.Perform additional duties and oversee special projects as assigned by the Chief of Police, Deputy Police Chief, Police Sergeant and other Police staff. DISTINGUISHING CHARACTERISTICS: Admin Assistant II performs a full range of highly responsible administrative duties and performs a greater difficulty and diversity of the tasks; may provide assistance with coordinating departmental work activities and/or training assigned personnel.Admin Assistant III is distinguished from Admin Assistant I and II in that Admin Assistant III performs complex, difficult and a full range of highly responsible, non-routine administrative duties and performs a greater difficulty and diversity of the tasks; able to work independently and without direct supervision; may provide assistance with coordinating departmental work activities and/or training assigned personnel. This is the lead level class of Administrative Assistants.

SUPPLEMENTAL INFORMATION
KNOWLEDGE, SKILLS & ABILITIES REQUIRED: Knowledge of: Standard office practices and procedures; business arithmetic; appropriate business English, including spelling, grammar and punctuation; techniques for dealing with the public, in person and over the telephone; standard computer software applications; basic accounting principles; operations relative to area of assignment; cash handling methods; customer service standards and protocol; principles and practices of court administration; legal documentation and terminology; records management processes and standards; methods for recording and maintaining criminal evidence; regulations governing departmental activities; CCIC and NCIC computer systems. Skill in: Answering incoming calls and responding to inquiries from customers and the public; assessing and prioritizing multiple tasks, projects and demands; make accurate arithmetic calculations; preparing correspondence and reports; using initiative and independent judgment within established procedural guidelines; effectively communicating in written and verbal forms, in applying correct English usage, grammar, spelling and punctuation; effectively presenting information and responding to questions from general public and employees; preparing legal documentation, issuing subpoenas and bench warrants; maintaining and ensuring the security and accuracy of police records; processing and maintaining criminal evidence; utilizing law enforcement computer systems and standard computer software applications. Environmental Factors: Work is performed in a standard office environment with frequent to constant use of a personal computer and phone. Work may involve stressful situations, competing demands, performing multiple tasks with accuracy and detail, working to deadlines and relate with people in potentially volatile situations.Physical Factors: While performing the duties of this job, the employee is exposed to hazardous materials, biohazards, weapons, and potentially hostile arrestees.
