Administrative Specialist

Over Outfitters is looking for an Administrative Technician to join our growing team.
This individual will be responsible for working with public safety, commercial, and
civilian customers. This person will be a point person for the company when it comes
to internal inventory keeping, managing billing and cataloging data for different
builds, and organizing information given by customers. This talented individual will
not only assist with daily office tasks but provide excellent customer service as well.
You’ll be the first face our customers see, and the first person they speak with when
calling so being on top of systems and processes is essential to this role. If you can

Requirements:
- Provides administrative support to ensure efficient office operations.
- Maintains physical and digital filing systems.
- Answers phone calls and directs callers to appropriate personnel.
- Schedules appointments.
- Signs for incoming packages and shipments.
- Receiving parts, including placing them into inventory and properly labeling them.
- Monitoring the current parts inventory.
- Collaborating with shop/parts managers to ensure all parts are available for jobs.
- Assists clients and other visitors.
- Check in/out customers.
- Assure billing is correct.
- Responds to emails and other digital queries and correspondence.
- Manages calendars.
- Inputs and updates information in databases and spreadsheets.
- Uses word processing and presentation software to create and edit documents.
- Operates and maintains office equipment, including printers/copiers.
- Works with maintenance staff and outside vendors to ensure office equipment is in good working order and office supplies are always on hand.
- Works closely with other administrative staff and supports other colleagues as needed.
- Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
- Ensures that deadlines are met and adapts to changing priorities.
- Presents a positive and professional image for the organization.
- Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
