Job Summary
We are seeking a highly organized and professional Receptionist/Secretary to join our team. The ideal candidate will serve as the first point of contact for our clients and patients, providing exceptional customer service while managing various administrative tasks. This role requires strong communication skills, attention to detail, and the ability to multitask in a very fast-paced environment. Must have amazing patient interaction skills which involves solving issues, building relationships, and positive attitude. Duties
- Greet and assist patients and visitors at the front desk with a friendly and helpful demeanor.
- Manage incoming calls, text messages, emails, and other correspondence, ensuring timely responses.
- Perform clerical duties such as filing, data entry, and maintaining organized records.
- Schedule appointments and manage calendars for team members efficiently.
- Proofread documents for accuracy and clarity before distribution.
- Assist with personal assistant tasks as needed to support executives or team members.
- Maintain a clean and welcoming front desk area to enhance the visitor experience.
- Utilize computerized systems for scheduling, record-keeping, and communication.
- Ensure confidentiality of sensitive information in all interactions.
Qualifications
- 2 years proven experience as a receptionist or in a similar administrative role.
- Experience in medical office or medical spa preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent time management skills to handle multiple responsibilities efficiently.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.
- Strong attention to detail with a commitment to producing high-quality work.
- Ability to work independently as well as part of a team.
- Must be able to work well with current staff and become part of our team and positive culture.
- Previous experience in calendar management is advantageous.

Job Type: Part-time
Pay: $18.00 - $22.00 per hour
Expected hours: 24 – 40 per week
