Drive Vehicle Performance, From the Inside Out
MRA is seeking a highly motivated, organized and proactive Administrator to act as a crucial link in our Fleet Management ecosystem. This role is responsible for managing the scheduling of Fleet service and repairs, 3rd party oversight, documentation and quality control. Additionally, this role will support an integrated shop plan, balancing maintenance and manufacturing workflows. The ideal candidate will possess excellent communication, coordination, and problem-solving skills, with strong attention to detail.
Scheduling and Coordination
- Develop and maintain a detailed schedule for all maintenance and repairs and integrated shop schedule in collaboration with our Fleet and Fabrication teams.
- Manage 3rd party vendor relationships, including scheduling, work orders and invoicing.
- Coordinate the daily flow of equipment within the shop as well as off-site storage.
- Maintain a master schedule of shop resources, including personnel, equipment, and work areas to optimize efficiency.
- Track project timelines and proactively identify potential scheduling conflicts or delays, proposing solutions.
Communication and Liaison
- Serve as the primary point of contact for communication between Fleet and Fabrication teams, regarding vehicle and manufacturing status and evolving schedule.
- Facilitate clear and concise information flow between MRA teams, leadership and 3rd party partners.
- Assist in resolving any discrepancies or issues that arise between Fleet and Fabrication operations.
Administrative Support
- Maintain accurate records of shop schedules, work orders, repairs and equipment usage.
- Process and track purchase requisitions for shop supplies and materials.
Problem Solving and Efficiency Improvement:
- Identify potential bottlenecks or inefficiencies, within Fleet planning and cross-functionally, and propose solutions for improvement.
- Proactively manage 3rd party partners to anticipate and mitigate service challenges
- Troubleshoot issues with scheduling conflicts.
Essential Experience, Skills - & Attitude!
- Proven experience (3 - 5 years) in an administrative, planning or scheduling role within a shop, warehouse or logistics environment.
- Strong organizational and time-management skills with the ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent communication and interpersonal skills, with the ability to effectively communicate with different teams.
