We are seeking a highly skilled and organized Senior Executive Assistant to provide primarily comprehensive support to the CEO and other C-Suite Executives of our family office. The ideal candidate will be a proactive professional with proven experience supporting senior executives, preferably in private equity, hedge funds, real estate funds, or other financial companies. Emphasizing confidentiality, this role requires a high-level of discretion and trustworthiness.


Responsibilities:

  • Calendar Management: Efficiently manage the Executive’s complex calendar, scheduling appointments, meetings, and travel arrangements with precision. Anticipate and resolve scheduling conflicts to ensure optimal use of their time.
  • Communication Management: Act as a gatekeeper for the Executives, screening and prioritizing emails, phone calls, and correspondence. Handle inquiries with professionalism, discretion, and a keen understanding of the organization's priorities.
  • Proactive Support: Anticipate the needs of the Executives, proactively identifying opportunities to enhance efficiency and effectiveness. Take initiative to address challenges and streamline processes.
  • Meeting Coordination: Assist in organizing events, conferences, and board meetings across complex calendars, assisting with agendas, coordinating materials needed, meeting minutes and action items.
  • Office Management: Develop and maintain a paperless filing system for the executive office, for easy retrieval of information. Prepare and track and submit expense reports timely.
  • Document Preparation: Prepare, edit, and proofread documents, reports, and presentations. Utilize advanced skills in Microsoft Excel and PowerPoint to create visually appealing and impactful materials for internal and external audiences. Draft emails, memos, and other communications on behalf of the executives.
  • Collaboration and Coordination: Collaborate with other executive assistants and team members to ensure seamless workflow across the organization. Facilitate communication and coordination among various departments and key stakeholders.
  • Project Management: Assist in the management of special projects and initiatives, coordinating efforts across departments and tracking progress to ensure timely completion.
  • Confidentiality: Maintain absolute discretion in handling sensitive company information and confidential matters. Uphold the highest level of professionalism and integrity when dealing with privileged and proprietary data.


Qualifications:

  • Bachelor’s degree required.
  • 7 years of prior EA experience partnering with C-level executives.
  • Prior experience supporting senior executives in private equity, hedge funds, real estate funds, or other financial companies is highly beneficial.
  • Exceptional organizational and multitasking abilities, ensuring timely completion of tasks and projects.
  • Outstanding communication skills, both written and verbal, with the ability to interact professionally at all levels.
  • Discretion and trustworthiness in handling confidential information.
  • Calendar management, meeting organization and travel coordination experience.
  • Poise, professionalism, and good judgement.
  • Team player, positive energy, detail oriented.
  • Proficient in MS Office suite, experience with A/V and conferencing systems a plus.
  • Ability to thrive in a fast-paced, dynamic environment and adapt to changing priorities.
  • California Notary certification a plus.

The starting base pay range for this position is shown below. Base pay is dependent upon a variety of job-related factors such as professional background, training/certifications, work experience, and market demand. Therefore, in some circumstances, the actual salary could fall outside of this expected range. This pay range is subject to change and may be modified in the future.
