Summary / Description:
The Scheduler / Planner is responsible for scheduling the work-force productively through effective job planning. They will be a liaison between building occupants, Facilities Operations, Manufacturing and key stakeholders for logistics concerning manufacturing equipment, facilities assets and manpower availability and will assist operations in developing a structured work plan to ensure efficient and effective use of available resources.
Asset Management Responsibilities:
- Performs complex statistical, spatial and graphic data analysis and provides a high level of coordination and technical services for the planning and development of facility manufacturing or laboratory equipment
- Maintain accurate asset inventory in CMMS.
- Ensure assets are up to date and that all add/delete requests are processed in the CMMS.
- Ensure assets have appropriate Preventative Maintenance (PM) schedules created and assigned by creating job plans and frequencies with technicians and management authorization.
- Own the creation and distribution of asset tags.
- Establishes and implements methods, systems and procedures to systematically collect, update and measure data integrity related to project planning, design and construction of facilities.
Planning Responsibilities:
- Ensure job plans are up to date and that all change requests are processed in the CMMS.
- Determine labor craft and skill requirements for maintenance work and properly align with facilities personnel.
- Support selection of spare parts and min/max system based on preventative maintenance and criticality assessment.
- Makes recommendations to integrate into master plan, strategic plan and facilities planning issues.
- Creates daily / weekly Planned Maintenance schedules to extends equipment life, reduce cost, and improve safety while minimizing downtime and optimizing resources
- Develops work packages including materials and documentation in support of maintenance work.
Scheduling Responsibilities:
- Coordinate maintenance work requirements to ensure effective and efficient optimization of resources.
- Act as a liaison between Facilities group and requesting department/tenant for coordinating maintenance work.
- Coordinate and schedule contracted service providers for lead technician or management approved contracts.
- Lead weekly scheduling meetings with facility and maintenance managers.
Reporting Responsibilities:
- Generate and distribute daily, weekly and monthly work reports.
- Data collection in support of scheduled reporting.
- Acts as a liaison to personnel regarding accuracy of data & details of project requirements; works with users and management to obtain info and develop an understanding of needs; recommends solutions utilizing technology.
- Responds to various requests for reports and documentation concerning the functional use of facilities and space to assist client in short and long range planning.
- Keeps abreast of technological developments, which are related to the development or modification of computerized systems; reviews, evaluates, and recommends support tools, software and related technology.
Financial Responsibilities:
- Assist with budget preparation and reporting department budget/actual monthly reports.
- Soliciting service contracts and SLA’s and generating PO’s.
Administration Responsibilities:
- Responsible for the processing of employee timecard and time off submissions.
- Quality oversight of work order and asset records in CMMS.
- Creating / submitting purchase orders in support of asset management and preventative maintenance program.
- Keeps abreast of technological developments, which are related to the development or modification of computerized systems; reviews, evaluates, and recommends support tools, software and related technology.
Requirements & Qualifications:
- 5-8 years of Maintenance and/or Manufacturing planning / scheduling experience supporting GxP / GMP Facility Operations / Engineering within a Life Sciences, Pharmaceutical, Laboratory or similar environment
- Excellent organizational, communication (oral and written), and planning skills with the ability to collaborate effectively with cross-functional teams.
- The ability to provide management and support staff with reports and guidance to make informed decisions in regard to maintenance schedules.
- Ability to multi-task in a high speed, high pace environment.
- Proficient experience with a Computerized Maintenance Management System (CMMS), preferably iOffice, as well as record keeping and data analysis
- Demonstrated knowledge, skill and ability to manage computer-based facilities and space management systems, including use of GIS and CAD (or similar types of spatial software)
- Must be able to read mechanical, structural and electrical drawings.
- GMP / GxP experience and knowledge of GxP industry requirements is a must
- Previous experience in a Facilities role preferred (Technician, Lead, Supervisor or Management)
- Wide ranging skills in such areas as planning, leadership, decision-making and administration.
- Ability to provide study reports, technical documentation, papers and/or project plans for technical staff members.

Pay: $40.00 - $44.00 per hour
