Job Description : GENERAL
Coordinates the procurement and distribution of equipment, materials, parts, and supplies for the Lighting Design, Custom and Build Firm located in LIC, NY with international clients. Experience with lighting will play a vital role in this position.
DUTIES & RESPONSIBILITIES
Coordinates all activities related to procurement of equipment, materials, parts, and supplies starting with intent to purchase through to delivery of product to client.
Analyzes the client requirements of equipment, materials, parts, and supplies, including preliminary specifications, preferred supplier, and date needed.
Investigates and / or interviews potential suppliers to determine if they meet the specified requirements.
Works with Design, Custom, Build and Business Development to pick the appropriate supplier to be used.
Negotiates the lowest possible cost for the equipment, materials, parts, and supplies balanced against the optimum quality and schedule needs.
Creates purchase orders that comply with company standards, contracts and client requirements.
Assures that the specified product is delivered on schedule, at the negotiated price, and meets the quality standards of the company and the end client.
Works closely with company Logistics to ensure logistics needs are met (worldwide shipping of product).
Arrange product deliveries to company with factory to ensure client deadlines are met.
Update Procurement sheets (google docs) so that company and clients can view up to date information on when product leaves factories and deliveries will happen.
Works hand in hand with the Owner, Business Development and Designers to develop partnership in the lighting industry.
Resolve vendor / factory order and delivery issues.
Manages and resolves quality control issues.
Research discrepancies between equipment, materials, parts, and supplies delivered against specs, orders and invoices. Resolve any issues.
Reviews new technologies, equipment, materials, and products for possible future use.
Performs other functions as necessary or as assigned.
DAILY CONTACTS
Interacts daily with vendors to procure equipment, materials, parts, and supplies for all sides of the business; Design, Custom and Build.
Interacts daily with employees and contractors in the field and in the office to discuss equipment, materials, parts, and supplies needs.
Requirements
TRAINING & QUALIFICATIONS :

Three years demonstrated experience in purchasing or related areas; or any combination of education, experience, and training which provides the following knowledge, skills and abilities :
Experience with Lighting / Lighting background is preferred.
Theatrical Lighting knowledge is a plus.
Ability to read, analyze, and interpret technical procedures / specs.
Ability to write reports, business correspondence.
Ability to effectively present information and respond to questions from employees, vendors and clients.
Ability to apply mathematical calculations regarding estimates.
Ability to use word processing, spreadsheet, inventory, order processing, Quick Books, project management, and design software.
Ability to communicate in person, electronically, and over the telephone.
