Job Summary :
The Purchasing Assistant will play a key role in supporting the purchasing department by processing special purchase requests, requisitions, and vendor orders in a timely and accurate manner. This position requires close collaboration with internal teams and external vendors to resolve any invoice discrepancies and ensure seamless procurement operations. The ideal candidate will have strong attention to detail, the ability to prioritize tasks, and a commitment to providing exceptional service while maintaining adherence to purchasing policies and procedures.
Key Responsibilities :
- Process Special Purchase Requests : Handle assigned special purchase requests accurately and in a timely manner.
- Requisition Management : Process all online requisitions for assigned vendors within 24 hours to ensure efficient procurement.
- Report Review : Weekly review of the OREC report to ensure it remains current and accurate.
- Invoice Discrepancy Resolution : Collaborate with Accounts Payable to resolve any invoice discrepancies within 48 hours to prevent delays in payment.
- EDI & Fax Confirmation Validation : Review and correct all EDI and fax confirmations to prevent service failures.
- Cross-Department Coordination : Maintain effective communication with internal departments regarding purchasing needs and updates.
- Supplier & Customer Issue Reporting : Identify and report any supplier or customer performance issues in line with company policies.
- Process Optimization : Work with the Purchasing Manager to optimize EDI, online requisitioning, and electronic faxing processes.
- Policy Adherence : Ensure compliance with the Market Purchasing Policy and enforce adherence across the team.
- Emergency Deliveries : Maintain and update an expedited log to track emergency deliveries and ensure timely processing.
- Additional Duties : Perform other duties as assigned to support the overall success of the purchasing department.
Qualifications :
Shift(s) : Days : Mon – Fri
Remote or onsite
7am - 3 : 30pm or 8am – 4 : 30pm
8 hour day with required 30 minute meal break
