Position Summary:
We are seeking a highly organized and detail-oriented Executive Assistant to provide high-level administrative support to senior leadership. The ideal candidate will excel in managing calendars, coordinating communications, supervising quality assurance tasks, assisting with random audits, and providing coverage for local office operations when staff are unavailable. This role ensures operational efficiency, compliance, and a seamless office environment.
Key Responsibilities:
Administrative Support
- Manage executive calendars, schedule meetings, and coordinate appointments.
- Handle emails, phone calls, and correspondence on behalf of the senior officer.
- Prepare reports, PowerPoint presentations, and other professional documents.
- Organize and maintain confidential files and records.
- Take meeting minutes and follow up on action items.
Quality Assurance and Compliance
- Review and supervise case notes to ensure accuracy, compliance, and completeness.
- Provide constructive feedback to team members to improve case documentation standards.
- Assist in preparing for and conducting random audits of case files and records.
- Maintain thorough documentation of audit findings and track corrective actions as needed.
Support for Senior Officer
- Assist with day-to-day tasks, ensuring the senior officer stays on schedule and focused on priorities.
- Conduct research and gather data to support decision-making and reporting.
- Coordinate with other team members and departments to resolve operational issues.
Office Coverage
- Provide coverage for the local office when staff are out, ensuring all daily tasks are completed efficiently.
- Handle front desk responsibilities, greet visitors, and assist with client or staff inquiries as needed.
- Maintain a professional and organized office environment during coverage periods.
- Monitor and address immediate needs to ensure smooth operations in the absence of regular staff.
Office Operations
- Ensure smooth office operations, maintaining a professional and organized work environment.
- Oversee office supplies, technology needs, and general maintenance as required.
- Act as a liaison between leadership and staff to improve communication and workflow.
Skills and Qualifications:
- Proven experience as an Executive Assistant or in a similar administrative role.
- Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
- Exceptional attention to detail, particularly in reviewing and editing case notes and reports.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office tools.
- Ability to handle confidential information with discretion.
- Flexibility to step in and cover local office duties as needed.
- Self-motivated and able to work independently while collaborating with a team.
Preferred Qualifications:
- Experience in quality assurance or compliance roles, especially in human services or similar fields.
