Job Summary
The Payroll Specialist is responsible for the timely and accurate processing of multi-state payrolls for MSC USA. This individual must be able to maintain proper records and ensure payroll compliance with government regulations. Solid knowledge of payroll, experience with ADP Workforce Now software and U.S. Payroll laws are required for this role.
Key Responsibilities:
- Enters, maintains, and processes information in the payroll system; information may include employees’ hourly rates, payable hours, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, and other information.
- Updates payroll records for new hires, terminations and changes in pay, exemptions, insurance coverage, titles, internal transfers etc.
- Has a thorough understanding of tax regulations and compliance requirements.
- Collects and verifies timesheet data. Calculates commissions, bonuses, taxes, and deductions.
- Ensures proper processing of payroll deductions for taxes, benefits, and other deductions.
- Serves as a first point of contact for employee inquiries and requests for payroll-related concerns.
- Maintains accurate records of payroll documentation, bill back invoices and transactions.
- Works with 401K TPA and Auditors (internal and external) for annual 5500 filing and year end true-up.
- Prepares reports for accounting, auditing, tax reporting purposes, by compiling summaries of earnings, taxes, deductions, leave, disability, etc.
- Reports and updates third party sick pay and payroll adjustments for offsets.
Supports a variety of HR compliance matters:
- Supports annual open enrollment including system maintenance and post-data processing.
- Processes payroll transactions including salaries, benefits, taxes, and other deductions.
- Calculates pay according to hours worked incorporating leaves and overtime.
- Maintains a good level of knowledge about evolving laws and legislation and keeps management updated.
- Performs other duties as assigned.
Qualifications & Key Competencies:
- Bachelor’s degree in accounting, Finance, Business Administration, Human Resources, or equivalent experience
- Minimum 5 years of multi-state, progressive Payroll experience
- Proficiency in ADP Workforce Now (ADP WFN)
- Knowledge of U.S. Payroll laws, regulations, and requirements
- Proficiency in Microsoft Excel or related software, including pivot tables, VLookups, conditional formatting, formulas
- Good knowledge of accounting related payroll functions including preparation, balancing, internal controls, and payroll taxes
- Strong analytical and problem-solving skills
- Ability to maintain data confidentiality, high integrity, and business ethics
- Excellent organizational skills and attention to detail

Salary : $80,000 - $90,000
