Who are we hiring?

The Venues People Practices coordinator is the key support for operations managers, business leaders, and the human resources team regarding time & attendance, scheduling, labor, application of CBA rules, and employee support. This coordinator performs duties integral to the day-to-day management of the Venues People Practices Department’s centralized hub of operational client groups, including labor planning & analysis, maintaining a positive employee experience by problem solving and escalating concerns as needed. Additionally, the coordinator creates and maintains schedules, tracks and enforces policies & disciplinary actions, and reports & analytics for their assigned client groups.

What will you do?

  • Available and responsive company representative for each employee in the client groups the coordinator supports, ensuring adherence to company policies and maintaining high integrity standards. Acts as the central agent of the company to assist employee needs in person, over the phone, or through email.Forwarding and escalating items across business units as appropriate.
  • Understands MSG’s business and structure, with specialized expertise in the operational needs and contractual requirements of the business units who are the coordinator’s clients; partners with key Managers in the operation to act proactively based on their needs as well as those of the frontline staff
  • Work with the People Practices Administrators and the People Solutions team to record absences, ensure employees are paid accurately and support the business by back-filling shifts. Validate and prepare time & attendance and clock exception case management disciplinary records and track closure with managers
  • Analyze data and create reports (e.g. schedule trends, disciplinary tracking, labor financials) on an ad hoc or scheduled basis for use by Venue Operations, People Practices, Finance, and Technology with a high level of regard for data accuracy and integrity
  • Develop and use collaborative relationships, critical thinking skills, and systems knowledge to facilitate the accomplishment of work goals and identify opportunities for process improvements or system enhancements for new and creative ways to better support clients’ needs
  • Provide technical support to operational system end users including systems for employee scheduling & time processing, human resources, incidents & work orders, shift assignments, inventory management, and basic IT troubleshooting; connects employee with additional support as needed
  • Lead live & virtual group and one-on-one training for system end users at all levels within their assigned client groups, ranging from frontline employees to business leaders
  • Support employee onboarding by processing on the spot new hire paperwork
  • Work in conjunction with management and the Employee Relations team to record and process employee terminations, suspensions, and reversals
  • Serve as a liaison between managers, employees, and the benefits team across all venues by regularly monitoring, getting manager approval, and advising on the status of Personal Leaves of Absence, Bereavement, Sick pay, Jury duty, and other related time off requests
  • Collaborate with the People Operations team to document, respond to and process any unemployment claims and questionnaires
  • Promote and maintain a positive employee experience at all times, with the ability to handle sensitive and confidential situations, escalating employee concerns as needed and directing employees to the correct resources based on their needs
  • Maintain organized, concise, and up-to-date standard operating procedures related to their client-specific tasks

What do you need to succeed?

 

  • Minimum 2 years in an administrative, human resources or customer service capacity (scheduling, payroll, employee services)
  • Strong computer skills including Microsoft Office including advanced Excel (lookups, pivot tables, formulas) and ability to quickly learn & use new systems
  • Prior experience in a Theater/Arena work environment or similar capacity with exposure to Collective Bargaining (CBA) work rules and scheduling procedures preferred.
  • Excellent verbal & written communication and professional phone demeanor and proven interpersonal/customer service skills required. The ability to communicate to employees on all levels of the organization
  • Ability to handle situations in a highly sensitive, heightened and urgent environment while maintaining a high degree of confidentiality and business ethics
  • Must be able to manage heavy volume of staff and manager interactions and multi-task & prioritize under pressure in a deadline-oriented environment
  • Possesses exceptional attention to detail, organizational abilities, time management, problem-solving, and follow-up skills
  • Must have the ability to work independently when necessary and as part of a team, and use sound business judgment
  • Demonstrates integrity, tact, diplomacy and a commitment to company values, and principles while ensuring the upmost consistency
  • Must be able to work a flexible schedule inclusive of days, nights, weekends and holidays with split days off. This is a 7 day a week operation requiring early mornings or late evenings based upon operational needs. Must be willing to travel to other locations as needed.
