Position Summary:
The Project Administrator will support project teams by managing administrative functions and ensuring smooth communication and documentation flow. This individual will be a key team member assisting with project logistics from pre-construction through closeout, working closely with project managers, estimators, field staff, subcontractors, and clients. This role will also assist the estimating team with bid coordination and outreach during the preconstruction phase.
Key Responsibilities:
- Provide administrative support to project managers throughout the project lifecycle
- Prepare, track, and manage submittals, ensuring timely review and distribution to appropriate parties
- Coordinate and compile operation and maintenance (O&M) manuals, warranties, and other closeout documentation for final turnover
- Maintain accurate and organized project files including RFIs, change orders, contracts, and meeting minutes
- Support document control processes, ensuring all required documentation is submitted, reviewed, and archived
- Coordinate with subcontractors and vendors to ensure timely and complete documentation submissions
- Assist with scheduling meetings, preparing agendas, and recording meeting minutes
- Track procurement items and project schedules as needed
- Support project billing, invoicing, and budget tracking efforts
- Assist the estimating team by emailing Invitations to Bid (ITBs),organizing bid documentation, and making follow-up calls to subcontractors and material suppliers.
- Help ensure compliance with internal processes and quality standards
Qualifications:
- 2 years of experience in construction project administration or coordination preferred
- Strong understanding of construction documentation, includingsubmittals, O&M manuals, and closeout packages
- Familiarity with construction software platforms such as Procore, E-Builder, Submittal Exchange, and other project management or bid management tools
- Familiarity with construction processes and terminology
- Highly organized with excellent time management and multitasking abilities
- Strong written and verbal communication skills
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook)
- Positive, team-oriented attitude and a proactive, problem-solving mindset
