Job Summary:
As an administrative assistant you will support the Executive / Operations Team of McCall Services in staying organized and will complete tasks that will allow the Executive Team to focus on more advanced responsibilities. The core duties and responsibilities of the administrative assistant revolve around supporting others of varying levels and titles. The administrative assistant’s support will ensure efficient operation within the company. The administrative assistant will maintain a current understanding of the companies policies, procedures and practices. As an administrative assistant you will be the liaison between management and employees. Tasks of the administrative assistant are time sensitive. Job duties can vary widely from day to day.
Essential Duties and Responsibilities:
Specific responsibilities of the administrative assistant include, but are not limited to the following:
- Responsible for confidential and time sensitive material
- Provide information to employees/ managers as needed by answering questions and requests independently, via email, telephone or face-to-face as directed
- Develop and update administrative systems to make them more efficient
- Maintain payroll information by collating, calculating and entering data
- Update payroll records by entering any changes to employees information
- Resolve payroll discrepancies and answer any payroll queries
- Assist with processing and issuing of W-2s and 1099s at the end of the calendar year
- Draft, compile and produce letters, memos, minutes, reports, agenda items and others as needed
- Prepare weekly/ monthly billing authorizations for payment from clients
- Monitor/ Reconcile company credit card transactions and assist managers with preparing expense reports
- Coordinate various meetings and other events
- Manage calendars and schedules
- Track PTO request and work collectively with management to confirm stores are fully staffed
- Schedule meetings and conference calls, including reserving rooms and organizing setup
- Book travel plans and itineraries as needed and compile documents for travel-related meetings
- Order and maintain inventory for all locations
- Assist with entering work orders into GoCanvas
- Complete administrative tasks accurately and deliver high quality work in a timely manner
- Assist with obtaining documents/ records for audits
- Perform other duties as required
- Must be available for Key monthly / yearly closings and payroll processing periods

Experience Requirements:
- Minimum of three years of proven work experience performing a wide variety of administrative assistant duties in a fast-paced environment
- Proficient in MS Office Suites (Excel, Word, Power Point, etc) and Adobe Pro
- Proficient computer skills
- Bilingual is a preferred, but not required
Hours: 8am-5pm M-F
