About the Role:
As an Administrative/Production Assistant, you will be a key player in ensuring our office and production processes are well-organized and efficient. You don’t need prior experience in experiential marketing or events, but a knack for organization and attention to detail are a must. This role starts as part-time, with the opportunity to transition to full-time in the fall/winter.
Key Responsibilities:
- Calendar Management: Assist with scheduling meetings, appointments, and team activities to ensure seamless coordination.
- Meeting Support: Take detailed notes during meetings (and/or compiling and transcribing notes from team members), including tracking action items, deadlines, and follow-up tasks to ensure team accountability and project progress.
- Client Supply & Inventory Management: Monitor, organize, and manage client materials, promotional swag, and inventory for projects and events.
- Shipping & Mailing Tasks: Coordinate shipping and mailing needs, including packing, labeling, and tracking shipments.
- Organizational Support: Maintain and organize office and project-related materials, ensuring everything is easily located.
- Filing & Documentation: Manage physical and digital filing systems, ensuring records are accurate and up-to-date.
- Ad-Hoc Tasks: Provide general administrative support to assist team members with various projects and assignments.
Who You Are:
- Highly organized with exceptional attention to detail.
- Proactive and resourceful, able to anticipate needs and solve problems independently.
- Strong time management skills with the ability to prioritize tasks effectively.
- Comfortable managing multiple tasks and deadlines.
- Strong communicator with excellent written and verbal communication skills.
- Physically able to perform light lifting and moving tasks as needed (e.g., shipping boxes or organizing inventory).
- Experienced in Google Workspace, ideally experienced with Monday.com.
- Previous experience/interest in hospitality, customer service, or events is ideal but not required.
What We Offer:
- Part-time schedule with guaranteed 20 hours per week.
