This is an 8.0 hours per day, temporary leave replacement Payroll Technician I, position at the District Office in the Payroll Department. This position will begin on June 2, 2025 - February 1, 2026. The annual salary listed will be prorated based on the duration of the temporary position.

JOB TITLE: Leave Replacement Payroll Specialist I

JOB SUMMARY:
The Payroll Specialist responsibilities include processing payroll contracts, employee leaves, insurance benefits and retirement plans for a group of employees. They prepare and distribute monthly payroll in accordance with federal, state, and district rules. The Payroll Specialist will assist the Payroll Director with all aspects of the monthly payroll process and provide technical support, information and assistance to other payroll staff, employees, and administrators.
PERFORMANCE RESPONSIBILITIES AND ESSENTIAL FUNCTIONS:
- Utilize computerized payroll systems to enter, verify and process payroll contracts, leave accruals, timesheets absence and sub reports, and benefit and retirement selections.
- Perform complex analysis of payroll and employee data, including manual calculation for adjustments of contracts, leave accruals and verification of paid and unpaid time off.
- Coordinate efforts with other departments and personnel for the purpose of verifying information to resolve payroll and/or budget discrepancies.
- Assist individuals with payroll concerns or issues in person, by phone, email and other forms of written correspondence for the purpose of providing quality customer service for all employees.
- Review, reconcile and balance monthly payroll reports for the purpose of verifying accuracy of employee pay, benefits and leave information.
- Assist with training and on-going instructional support for Payroll Technicians.
- Implement and comply with District Policies.
- Maintain consistent attendance, be available significant overtime during peak payroll periods and conform to regular work.
- Perform related duties as assigned.
Job Requirements: Minimum Qualifications
Skills, Knowledge and Abilities required to perform the functions of the job satisfactorily including multiple, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Requirements include:
- Demonstrated ability to exercise sound judgment and to work independently, with minimal direction, to accomplish timely and accurate completion of all functions and tasks within the area of responsibility, as well as to lend assistance the Director of Payroll and other staff when required.
- Ability to analyze and research payroll information effectively, collate data, problem solve, identify issues, and develop and articulate solutions.
- Knowledge and successful experience creating excel spreadsheets to sort, check and verify a variety of payroll data. Successful experience entering data, developing formulas, and/or downloading information from another software program into Excel for the purpose of analyzing and checking employee pay information such as wages, hours, leave, benefits, employee position/type, etc.
- Ability to be flexible in meeting deadlines, flexibility to work additional hours that may include nights and/or weekends.
- Knowledge and ability to perform basic math, including calculations such as addition, subtraction, multiplication, fractions, percents, and/or ratios to perform various payroll data calculations.
- Ability to perform tasks well under pressure, maintains accuracy of information, and meets various payroll deadlines.
- Ability to understand and follow written and verbal instructions and procedures required for processing payroll records.
- Knowledge and ability to successfully write routine documents using correct spelling, grammar and punctuation.
- Accurate and efficient data entry skills and ability, including on-line and PC computer experience.
- Skill and ability to communicate with all individuals in a professional and courteous manner both verbally and in writing; exercising discretion, maintaining trust and confidentiality, and developing amenable relationships with staff and the general public to convey a positive image for the Payroll Department and the District.
- Skill and ability to accurately and efficiently operate/use a 10-key calculator for various payroll tasks.
- Ability to successfully utilize and operate a variety of job-related equipment such as computer, telephone, fax, copier, shredder, microfiche reader, media equipment, etc.
- Ability to demonstrate effective cross-cultural communication skills and culturally responsive practices.
- Ability to identify and address personal, cultural, and institutional bias.
EDUCATION/EXPERIENCE:
- AA Degree or higher and two or more years experience with a computerized payroll/personnel system; or
- High School Diploma and five or more years of experience in a computerized payroll/personnel system.
PREFERRED EDUCATION AND EXPERIENCE:
- Knowledge of and experience utilizing the WESPaC electronic payroll/personnel system.
- Knowledge of Washington laws affecting school district payroll, benefits and retirement practices
- Experience with employee benefits and retirement administration in a public school or higher education system.
